At The Lucy Rayner Foundation, we support the mental health and wellbeing of young people across Surrey. We are a small, values-led charity with a big heart, and we are now looking for an experienced and highly organised Administration Executive to join our friendly and supportive team.
This is a pivotal role at the heart of the organisation. You will help ensure the smooth day-to-day running of our office, provide high quality administrative support to our leadership team, and play an important part in supporting our counselling services, volunteers and events.

About the role
You will be the first point of contact for many of our supporters, partners and service users. You will manage core office administration, support the CEO and Operations Manager, coordinate volunteers, and provide administrative assistance across the charity’s services and activities.
No two days will be the same, and you will need to be confident juggling priorities while maintaining a calm, compassionate and professional approach at all times.
Key responsibilities
- Acting as the first point of contact for phone and email enquiries, responding professionally and signposting as appropriate
- Managing the central inbox, logging enquiries and handling supporter and donation communications, including thank-you letters and post
- Providing high level administrative support to the CEO and Operations Manager, including diary management, arranging meetings and preparing correspondence
- Coordinating and supporting volunteers, including corporate volunteers, ensuring they are scheduled, onboarded and supported effectively
- Managing office administration, including stock control, ordering supplies, overseeing IT systems and supporting CRM management
- Welcoming visitors, setting up meeting and training rooms and supporting internal sessions
- Assisting with the planning, coordination and delivery of charity events
- Supporting financial administration, including processing invoices
- Providing administrative support to the counselling team as required
- Assisting with onboarding new employees and completing associated paperwork
- Maintaining confidentiality and ensuring compliance with organisational policies and procedures
- Supporting special projects and initiatives as needed
About you
You will bring experience from a senior administration or PA type role and be confident working independently in a small organisation.
You will also have:
- Excellent organisational skills and the ability to prioritise a varied workload
- Proven written and verbal communication skills
- Experience of managing or co-ordinating volunteers
- Confidence using IT systems, CRM databases and Microsoft Office
- A professional, discreet and compassionate approach, particularly when handling sensitive information
- Experience supporting events and providing logistical coordination
- A genuine interest in mental health and wellbeing, and a commitment to our charitable mission
