We are seeking a dedicated and professional Client Services Administrator to join our team within a busy and successful financial advice practice. This role involves engaging with clients to provide exceptional support, ensuring their needs are met efficiently and effectively. The successful candidate will play a vital part in maintaining strong client relationships and supporting the organisation’s commitment to outstanding service delivery. Prior experience in financial services and familiarity with Salesforce are advantageous, alongside excellent communication and IT skills.
Responsibilities
- Act as the primary point of contact for clients, addressing enquiries promptly and professionally.
- Manage the diary of the Financial Adviser, booking and recording all client meetings and all aspects of the client journey on our internal systems.
- Utilise Salesforce to manage client information, track interactions, and update records accurately.
- Utilise all software systems used by the firm to ensure alignment of information recording and compliant completion of processes.
- File preparation in advance of client meetings between clients and advisers.
- Provide tailored solutions based on client needs, demonstrating a thorough understanding of our services.
- Collaborate with internal teams and external providers to ensure client requests are fulfilled efficiently.
- Maintain detailed records of all client interactions and follow-up actions.
- Support the organisation in developing strategies to enhance customer satisfaction and retention.
Requirements
- Proven experience in client services or a related role within the financial services/wealth management sector is essential.
- Ability to understand and respond to the needs of the advisers in the firm in order that all client needs are supported.
- Strong and accurate communication skills, both written and verbal, with the ability to convey information clearly and professionally.
- Proficiency in learning and utilising all internal software and AI used in the business to support the needs of the client and the business processes. Examples of systems used are Salesforce, Outlook 365, Word and Excel, Calendly, SOFI AI, PreMeet, Zoom, internal Intranet.
- Analytical skills to interpret data, generate insights, and support decision-making processes.
- Exceptional organisational ability with excellent attention to detail and time management abilities to manage tasks in a timely manner.
- Ability to work collaboratively within a team environment while managing multiple priorities effectively.
- Willingness to develop compassionate, empathetic relationships with clients in order that their needs are responded to is a must.
- Must have the ability to think proactively and strategically in line with seeing situations from the client's perspective in order that we achieve the highest levels of client care and service.
- A proactive approach to problem-solving and a commitment to delivering exceptional customer service.
Job Type: Part-time
Pay: £13.50-£15.00 per hour
