Job Profile
The successful candidate will play a key role in supporting both the finance function and wider administrative needs of the business. This role combines financial administration with general office management responsibilities to ensure smooth and efficient operations.
Key Duties and Responsibilities
Finance Support:
· Process supplier and customer invoices, ensuring accuracy and timely entry into Xero.
· Assist with bank reconciliations, expense tracking, and maintaining up-to-date financial records.
· Support month-end processes and provide basic reporting as required.
· Previous experience in a similar finance role and strong working knowledge of Xero (AAT qualification desirable but not essential).
· Monitor outstanding receivables and manage debt collection.
· Reconcile payments and update records promptly.
· Manage end-to-end payroll process, including collecting timesheets, calculating allowances, preparing PAYE spreadsheets, liaising with accountants, ensuring timely payments, and maintaining accurate records.
· Handle all CIS administration, including processing payments, submitting returns, ensuring HMRC compliance, maintaining records, and preparing annual CIS statements.
Administrative Support:
· Provide general administrative assistance to the management team, including scheduling meetings, preparing documents, and handling correspondence.
· Maintain organised filing systems and ensure smooth day-to-day office operations.
· Oversee fleet management, including maintaining vehicle records, organising MOTs, services, and insurance renewals, managing breakdown recovery and claims, and ensuring DVLA compliance.
· Manage employee training and development by maintaining records, organising renewals, and coordinating assessments and certifications to ensure compliance with industry standards.
· Manage cable markers and core IDs by preparing and printing based on project requirements, monitoring stock, and raising POs for replenishment.
· Assist with ad hoc tasks and projects as directed by management.
Collaboration
· Work closely with internal teams to ensure accurate information flow and timely completion of tasks.
· Contribute to a positive and efficient office environment.
Pay: £30,000.00-£35,000.00 per year
