Accounts & Business Administration Manager
Full-Time Position
We are looking for an experienced, organised and highly dependable Accounts & Business Administration Manager to join our team.
This is a varied and important role within the business, providing administrative and accounts support across our group of companies, while also assisting the Directors with day to day business and personal administration.
The successful candidate will need to be extremely organised, confident working independently, comfortable handling confidential information and capable of managing a varied workload where priorities can change throughout the day.
Key ResponsibilitiesAccounts & Finance Administration
- Inputting purchase invoices accurately into the accounting system.
- Checking supplier invoices against statements and internal records.
- Reconciling supplier statements and identifying any discrepancies.
- Sending and requesting statements from suppliers where required.
- Checking supplier payments and ensuring accounts are kept up to date.
- Filing and maintaining purchase invoices and supporting documentation.
- Generating internal and inter company invoices.
- Bringing newly purchased vehicles into stock.
- Recording vehicle purchase costs and associated cost-of-sale information.
- Ensuring vehicle preparation and other costs are correctly allocated.
- Assisting with wages, bonuses and staff commission calculations.
- Maintaining accurate financial and administrative records.
General Business Administration
- Monitoring company email accounts and ensuring important correspondence is actioned or passed to the appropriate person.
- Assisting Directors with emails, correspondence and general administration in a PA style capacity.
- Maintaining organised electronic and physical filing systems.
- Ordering stationery, business cards and other office supplies.
- Assisting with general administration across different departments within the business.
- Answering overflow telephone calls when sales or service staff are busy.
- Taking accurate messages and ensuring enquiries are passed to the correct member of staff.
- Producing letters, documents and internal correspondence when required.
Contracts, Renewals & Business Services
Taking responsibility for monitoring important company contracts and renewal dates, including:
- Business insurance policies.
- Motor and premises insurance renewals.
- Mobile telephone contracts.
- Broadband and telecommunications contracts.
- Gas, electricity and other energy contracts.
- Supplier and service agreements.
- Other recurring business contracts and subscriptions.
The successful candidate will be expected to maintain an organised renewal diary to ensure contracts are reviewed in good time rather than simply being allowed to renew automatically.
HR & Staff Administration
- Maintaining staff records.
- Recording and monitoring annual leave and holiday entitlement.
- Keeping employment contracts and associated documentation organised and up to date.
- Assisting with new starter and employee administration.
- Preparing employment-related correspondence when requested by management.
- Assisting management with disciplinary, performance or other HR-related letters and documentation.
- Maintaining confidentiality when dealing with staff and employment matters.
- Assisting with payroll information, commissions and other staff payment information.
Director / PA Support
A key element of the position will be providing trusted administrative support directly to the Directors.
This may include:
- Managing and responding to correspondence.
- Drafting emails and letters.
- Following up outstanding matters.
- Keeping track of important deadlines and renewals.
- Organising documents and information.
- Liaising with suppliers and third parties on behalf of the Directors.
- Assisting with occasional personal administration.
- Ensuring matters delegated by the Directors are followed through to completion.
The Ideal Candidate
We are looking for someone who is:
- Highly organised with excellent attention to detail.
- Experienced in accounts administration and invoice processing.
- Confident reconciling supplier accounts and statements.
- Comfortable working with accounting and business management software.
- Proficient with Microsoft Outlook, Word and Excel.
- Confident communicating by telephone and email.
- Able to prioritise a busy and varied workload.
- Capable of working independently without constant supervision.
- Proactive and able to identify when something requires attention.
- Professional and discreet when handling confidential business, financial and employee information.
- Comfortable communicating with suppliers, employees, management and company Directors.
- Able to take ownership of tasks and ensure they are completed rather than simply passed on.
Previous experience within the motor trade, automotive industry or a multi company environment would be advantageous but is not essential.
Experience using accounting software and dealing with purchase ledgers, supplier statements, payroll information or similar financial administration would also be beneficial.

This position would suit someone who enjoys being at the centre of a busy business and becoming the person who helps ensure everything behind the scenes remains organised.
It is not simply a data entry or receptionist position. The successful candidate will have responsibility for keeping on top of accounts administration, suppliers, contracts, staff administration and important business deadlines while acting as a trusted support to the Directors and management team.
We are therefore looking for someone reliable, methodical and proactive who takes pride in keeping things organised and seeing tasks through from start to finish.
