We are looking for a highly organised and proactive Operations Administrator to join our growing team at Trent’s Drains. This is a varied role that supports the day-to-day administration of the business, ensuring our operational, HR and compliance processes run efficiently.
The successful candidate will be responsible for coordinating employee onboarding, maintaining compliance records, managing vehicle compliance, supporting operational administration and providing general office support across the business.
Key Responsibilities
Employee Onboarding & HR Administration
· Coordinate the administration of all new starters.
· Issue offer letters and contracts of employment.
· Set up company email accounts.
· Request DBS checks through the Citation UCheck portal.
· Create employee accounts across required business systems.
· Order uniforms and equipment.
· Prepare training accounts and login details ready for employees’ first day.
· Coordinate with management regarding IT equipment and system access.
· Complete driving licence checks using DVLA check codes.
· Notify insurers of new drivers.
· Maintain employee driving licence records and compliance spreadsheets.
· Provide line managers with all onboarding information prior to new starters commencing.
Vehicle Compliance
· Maintain company vehicle records.
· Schedule and monitor MOTs, servicing and repairs.
· Ensure all vehicle insurance records remain accurate and up to date.
· Liaise with suppliers, garages and insurers to ensure vehicles remain compliant.
· Monitor renewal dates and arrange bookings in advance.
· Maintain accurate compliance records for the company fleet.
Operational Administration
· Maintain employee training records and training matrix.
· Assist with compliance administration.
· Process speeding tickets and parking fines.
· Maintain operational spreadsheets and business records.
· Support department managers with administrative tasks.
· File and maintain employee documentation electronically.
· Ensure company records are accurate and up to date.
General Administration
· Answer administrative enquiries from staff.
· Produce letters and documents as required.
· Support the wider management team with administrative duties.
· Maintain confidentiality of employee and company information.
· Identify opportunities to improve administrative processes.
Skills & Experience
Essential:
· Previous administration experience.
· Excellent organisational skills.
· Strong attention to detail.
· Confident using Microsoft Office, particularly Outlook, Excel and Word.
· Ability to prioritise multiple tasks.
· Excellent written and verbal communication skills.
· Ability to work independently and as part of a team.
Desirable:
· Experience in HR administration or employee onboarding.
· Experience managing compliance records.
· Experience working with vehicle fleets or transport compliance.
· Experience using business management systems and CRM software.

Reporting To
Operations Manager
Hours = Part time 30 hours per week, Monday to Friday.
