About the Role
Collings Solicitors is looking for an organised and reliable Legal Administrative Assistant to join our small, friendly team. We are looking for someone who enjoys working in a supportive office environment, takes pride in their work and is happy to get involved in all aspects of the day-to-day running of the practice.
This role will involve supporting our conveyancing department with a range of administrative and post-completion tasks, while also assisting with general office duties where required.
Key Responsibilities
- Setting up new client files on the firm's case management system.
- Preparing client care documentation and opening files in accordance with AML and compliance requirements.
- Updating mortgage applications and lender requirements through the Lender Exchange portal.
- Managing lender instructions and communications via the LMS portal.
- Submitting and monitoring Land Registry applications using the HM Land Registry Portal.
- Reviewing, responding to and resolving HM Land Registry requisitions.
- Preparing and submitting SDLT returns where required.
- Requesting searches and obtaining title documents.
- Assisting fee earners with the day-to-day administration of conveyancing matters.
- Liaising with clients, estate agents, mortgage brokers, lenders and other solicitors by telephone and email.
- Managing incoming and outgoing post, emails and correspondence.
- Maintaining accurate electronic file records and ensuring documents are uploaded correctly to the case management system.
- Assisting with file closures and general post-completion administration.
- Providing general office and administrative support to the wider team as required.
About You
The successful candidate will have:
- Previous experience working within a legal administrative or conveyancing support role.
- Experience using the Lender Exchange portal.
- Experience using the LMS portal.
- Experience using the HM Land Registry Portal.
- Experience dealing with HM Land Registry requisitions.
- Experience setting up new files on a legal case management system.
- Excellent organisational skills and strong attention to detail.
- The ability to manage their workload effectively and work independently.
- A friendly, approachable and professional manner.
- Good written and verbal communication skills.
- Good IT skills, including Microsoft Office.
Desirable
- Experience using Smokeball or another legal case management system.
- Previous residential conveyancing experience.
- Knowledge of post-completion procedures.
