Legal Intake & Admin Assistant (New Client Onboarding) — Part-Time, Remote
Language requirement: Fluent second-language speaker essential — Punjabi, Romanian, or Portuguese
Location: Remote / work-from-home (very occasional office attendance for training or updates only)
Hours: 5–10 hours per week (flexible around your schedule)
About the role
This is a flexible, home-based administrative role at the front end of our legal team. Your main focus is onboarding new clients and keeping our intake process running smoothly — this is not a fee-earning or heavy casework position, and it is not a call-centre role.
You'll handle the admin and first-contact side of new enquiries: gathering client details, completing onboarding paperwork, and making sure each new file is set up correctly before it reaches our solicitors. A big part of the job is overcoming language barriers for our non-English speaking clients, so fluency in Punjabi, Romanian, or Portuguese is essential.
The role also involves coordinating with our offshore support team, helping to allocate and track intake tasks so nothing slips through the cracks.
Because the hours are short and fully flexible, this role is ideally suited to anyone working from home — including parents with young children, carers, or anyone who can't easily travel or commit to fixed office hours.
What you'll be doing
New client intake and onboarding — taking initial details from new enquiries and explaining our service and the "No Win, No Fee" (CFA) arrangement in the client's own language.
Admin and file setup — completing onboarding forms, initial compliance and AML ID checks, and keeping our case management system accurate and up to date.
Client liaison — acting as the language bridge between our solicitors and non-English speaking clients during the early, admin stage of a claim, and guiding clients on what documents or details we'll need from them.
Offshore team support — helping to manage, allocate, and follow up on intake tasks with our offshore team to keep onboarding moving.
Light note-taking — writing clear, simple summaries of new enquiries for the supervising solicitor to review.
What we're looking for
Essential: fluent or native Punjabi, Romanian, or Portuguese, and confident spoken and written English. Well-organised, reliable, and comfortable with computers and admin systems. A friendly, patient telephone manner and the ability to handle sensitive situations with care.
Nice to have (but not required): any previous admin, legal assistant, or customer-service experience; familiarity with case management software (e.g. Proclaim, LEAP, Eclipse); or an interest in the legal sector. Full training is provided, so this is also a great fit for someone looking to get a foot in the door.
What we offer
Genuine flexibility — short, part-time hours you can fit around family, study, or other commitments. Home-based work with only very occasional office attendance, purely for training or team updates. Full training and support from an experienced, friendly legal team, with the chance to take on more over time if you'd like to.
