Job Purpose
We are seeking a part time (3 days per week) Membership Support Officer who will play a vital role in supporting the smooth and professional operation of the Association’s membership processes, governance administration, and external engagement.
The role provides direct administrative support to the President, Boards/Committees, and the Membership Team, ensuring efficient handling of invitations, meetings, member communications, applications, and database management.
The post holder will act as a first point of contact for prospective and existing members, contributing to a high-quality experience that aligns with the Association’s standards and strategic objectives.

Main Duties and Responsibilities
- Manage all administrative aspects of Presidential and senior representative engagements, including overseeing invitations, confirming attendance, booking accommodation, completing visit documentation, updating calendars, and maintaining accurate records.
- Provide comprehensive administrative support for Boards, Committees and internal groups, including arranging meeting rooms and accommodation, preparing and distributing papers, attending meetings where required, and producing accurate minutes with specified timescales.
- Act as a first point of contact for members and prospective members by telephone, email and website enquiries, jointly overseeing the info@ inbox and ensuring professional and timely responses.
- Administer the full lifecycle of membership applications, including processing new applications, amendments and branch changes; liaising with applicants regarding compliance with criteria; monitoring outstanding information; and withdrawing applications where necessary.
- Maintain the accuracy and integrity of all membership data, ensuring regular updates to internal databases, website listings (including suppliers and overseas members), and associated documentation.
- Issue digital and hard-copy welcome packs, maintain and update welcome pack materials, and manage the annual and ad-hoc distribution of membership and inspection certificates.
- Support the membership renewal cycle by responding to member queries, communicating with late payers, issuing lapsed membership notifications, processing resignations, and updating internal spreadsheets and systems, the team of Standards and Quality Managers, Area Federations and Local Associations accordingly.
- Manage stationery requirements including ordering, processing and fulfilling.
- Support sales activity across events, publications, and organisational initiatives, working alongside the Editor of our monthly magazine and our Marketing and Business Support Manager to maintain existing relationships and identify new opportunities.
- Assist in building and maintaining positive relationships with clients, affiliate partners, and stakeholders to support long-term engagement and value.
- Assist with monitoring sales and engagement activity to help inform future planning and improve outcomes.
- Contribute to wider National Office operations and undertake any other duties that support the effective running of the Association.
Pay: £21,000.00 per year
