Payroll and Timewriting Coordinator

The main purpose of the role is to coordinate the entry and verification of time writing for offshore personnel and assist the payroll team with queries raised via the payroll inbox and assist with payroll admin tasks.
Main responsibilities
· Verification of timesheets received from offshore personnel in conjunction with the company’s time writing team.
· Liaising with internal departments, tracking systems to ensure entry is correct for submission to the job costing system
· Highlight discrepancies and bring them to the attention of Training Team Leader or relevant engineering personnel for amendment
· Entry of verified timesheets into job costing system for authorisation by client (SOSL) and release to accounts in the agreed company timeframes.
· Produce missing timesheet information ensuring the time entry for the week is complete, follow up missing time as required ensuring completion.
· Distribute entered timesheets to relevant accounting team for backup invoicing tool
· Check against & align with Vantage System and highlight changes to employee.
· Ownership of the payroll team inbox responding to employee queries and escalating accordingly
· Ensure payroll admin coming to the inbox is filed, distributed accordingly for action within payroll team.
· Assisting the payroll team with entering new starts, leavers and changes within the payroll system
· Distribution of employee payslips and P45’s for leavers
· Checking and recording of time for offshore employees from the time entry and logistics systems for payment to employees.
· General admin for the payroll and time writing teams as required.
HSEQ responsibilities
· It is mandatory that the incumbent is familiar with the Company's HSEQ Policy and takes an active role in the compliance and improvement of Sparrows Integrated Management System. The incumbent must report any incidents, near misses, actual or potential problems with products, services or systems to their Line Manager.
· The incumbent also has legal responsibilities under country-specific health and safety legislation to follow all Company processes and procedures and familiarise themselves with the emergency response arrangements applicable to them. The incumbent is also responsible for the health and safety arrangements of subordinates (if any) and for any persons visiting them while on the Company premises.
Qualifications and experience
The successful candidate will demonstrate the following skills and experience:
· General administrative experience is essential; experience using Microsoft Excel would be advantageous.
· Experience within the oil and gas services industry, particularly supporting offshore personnel, would be advantageous but is not essential.
· Excellent attention to detail and a high level of accuracy.
· Good numerical skills and confidence working with data and figures.
· Strong customer service and communication skills.
· Ability to prioritise workload, manage time effectively, and meet deadlines in a fast-paced environment.
· Good organisational skills and the ability to work independently while contributing to a wider team.
· Previous payroll experience would be advantageous but is not essential, as training can be provided
