Job Summary
We are seeking a dynamic, organised, and proactive Event Coordinator to join our team. The successful candidate will be responsible for planning, coordinating, and delivering a wide range of events, exhibitions, promotional campaigns, roadshows, and corporate activities. The Event Coordinator will work closely with clients, suppliers, venues, and internal teams to manage every stage of the event lifecycle—from initial planning and budgeting through to on-site coordination and post-event evaluation. The ideal candidate will have excellent organisational skills, strong attention to detail, and the ability to manage multiple projects in a fast-paced environment.
Key Responsibilities
Plan, organise, and coordinate exhibitions, shopping centre kiosks, promotional campaigns, roadshows, trade shows, and corporate events.
Liaise with clients to understand their requirements and provide tailored event solutions.
Coordinate venues, suppliers, contractors, catering, entertainment, equipment, branding, and logistics.
Manage event budgets, negotiate with vendors, and ensure cost-effective procurement of goods and services.
Identify opportunities to upsell additional services or event enhancements where appropriate.
Oversee event setup, on-site operations, and event breakdown to ensure smooth delivery.
Support the sales team during events and assist in generating qualified customer leads.
Supervise temporary staff, contractors, and suppliers to ensure high standards of service.
Handle customer and guest enquiries professionally and resolve issues promptly.
Maintain detailed event schedules, documentation, budgets, and reports.
Monitor event performance and prepare post-event evaluations with recommendations for improvement.
Ensure all activities comply with health and safety regulations and company policies.
Skills & Experience
Proven experience in event planning, event coordination, hospitality, marketing, or a related field is preferred.
Excellent organisational and project management skills with the ability to manage multiple events simultaneously.
Strong communication and interpersonal skills when working with clients, suppliers, and colleagues.
Experience managing budgets and negotiating with vendors.
Ability to identify opportunities to increase event value and revenue through additional services.
Experience in guest services, fundraising, or promotional activities is advantageous.
Proficiency in Microsoft Office and event planning software.
Excellent problem-solving, time-management, and decision-making skills.
Flexible to work evenings, weekends, and travel when required.
