About the Role
This is not a conventional PA role. We are looking for a highly adaptable, hands-on Personal Assistant who is comfortable working across multiple departments and functions — often at the same time. You will be the go-to support person for both the Head of Strategic Partnerships and the Head of Operations, meaning no two days will look the same.
From finance and credit control to events, HR, data, and everything in between — this role touches every part of the organisation. You will be expected to dive into whatever is needed, switch gears quickly, and bring the same level of care and attention to a complex spreadsheet as you would to booking a venue or chasing an outstanding invoice.
The right person for this role will be resourceful, organised, and genuinely happy to get stuck in wherever they are needed. You will work closely with both heads of department and, by extension, with the wider business — so strong communication and a professional attitude are essential.
Scope of the Role
You will provide broad administrative and operational support across the business on behalf of the Head of Strategic Partnerships and the Head of Operations. The areas you may be called upon to support include, but are not limited to, the following:
Finance & Credit Control
Raising, sending, and tracking invoices on behalf of the business.
Chasing outstanding payments and following up with clients or suppliers as required.
Assisting with expense processing, purchase orders, and basic financial administration.
Liaising with the finance function to ensure records are accurate and up to date.
Events & Logistics
Supporting the planning and coordination of internal and external events, meetings, and away days.
Managing venue bookings, catering, delegate logistics, and event communications.
Providing on-the-day administrative support at events as required.
Data & Reporting
Maintaining, updating, and organising data across internal systems and databases.
Pulling together reports, spreadsheets, and data summaries as requested by either manager.
Ensuring records and filing systems — digital and physical — are accurate and well-organised.
HR & People Administration
Providing administrative support to HR processes, including onboarding, filing, and correspondence.
Coordinating interviews, meetings, and communications with candidates or staff members.
Maintaining confidential HR records and supporting people-related administration as needed.
Diary & Communications Management
Managing the diaries of both the Head of Strategic Partnerships and the Head of Operations, coordinating meetings, calls, and commitments across both workstreams.
Monitoring and managing email inboxes where required, drafting correspondence, and flagging urgent matters.
Acting as a professional first point of contact for internal and external queries, directing them appropriately.
Operational & Project Support
Supporting the Head of Operations with tracking project timelines, chasing actions, and compiling progress updates.
Assisting the Head of Strategic Partnerships with partner communications, research, presentation preparation, and briefing documents.
Liaising across departments and with external stakeholders on behalf of both managers.
General & Ad Hoc Support
Providing day-to-day administrative support wherever it is needed across the business.
Taking on ad hoc tasks and special projects as directed by either head — the nature of this role means the list is not exhaustive, and a flexible, positive attitude is essential.
Person Specification
Essential
Proven experience in an administrative, PA, or wide-ranging office support role.
Comfortable working across multiple departments and disciplines — this role requires genuine versatility.
Strong organisational skills with the ability to manage competing priorities and switch tasks fluidly.
Excellent written and verbal communication skills, with a professional manner at all times.
Confident with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and/or Google Workspace.
Reliable, punctual, and fully committed to office-based working Monday to Friday.
Discreet and trustworthy — you will regularly handle sensitive financial, HR, and business information.
Self-motivated and proactive — able to use initiative and get things done without constant direction.
Desirable
Experience supporting multiple senior stakeholders across different functions.
Exposure to invoicing, credit control, or basic financial administration.
Familiarity with HR processes or people administration.
Experience coordinating events, travel, or logistics.
Familiarity with task management or CRM tools (e.g. Asana, Notion, Salesforce, HubSpot).
