We are looking for a friendly, organised Service Coordinator to join our small team on a fixed term contract covering maternity leave until the end of April 2027. The role is part time, 30 hours per week over five days. The exact working pattern can be agreed with the successful candidate, but the hours will need to cover our core office hours and support the service team during the main part of the day.
DQM is a small, family-run business, so this is not a big corporate office environment. We work hard, but we try to keep things relaxed, supportive and practical. Everyone gets stuck in, helps each other out and is encouraged to ask questions rather than struggle in silence. We have detailed training resources to help people settle in, and because we are a small team, the support is hands-on rather than distant. We also occasionally have a dog in the office, so it helps if you are comfortable with dogs being around from time to time.
Alongside a salary of £20,280 (£27,000 FTE), we try to make DQM a good place to work in the everyday things too. What the role involves
As Service Coordinator, you will help plan and coordinate service work before our engineers attend site. This includes setting up work orders, speaking with customers, engineers and subcontractors, updating customer portals and helping make sure jobs are ready to go ahead smoothly.
You will be working with systems such as Dynamics 365 & customer portals. Full training will be provided, but you will need to be comfortable using computers, following processes and keeping information accurate.
- Coordinating planned maintenance and reactive callouts
- Setting up and progressing work orders in Dynamics 365
- Keeping customers updated with bookings, attendance dates and changes
- Updating customer portals for key contracts
- Liaising with engineers, subcontractors, suppliers and internal teams
- Helping prepare information and documents needed before site attendance
- Keeping on top of queues, tasks and follow-ups throughout the day
- Acting as secondary support for incoming calls and helping cover the Service Admin Assistant during periods of holiday.
What we are looking for
You do not need to know our industry already, but you do need to be organised, practical and comfortable dealing with several things at once. This would suit someone who has worked in service coordination, scheduling, planning, administration or a similar role where priorities can change during the day.
