We are now looking for an Outpatients Administrator to join our team and provide high-quality patient facing administrative support across our Outpatient and Pre-Assessment services.
About the role
As an Administration Clerk, you will play an important role in ensuring our outpatient and pre-assessment services run smoothly and that patients receive a professional, efficient and compassionate experience from their first point of contact.
You will work closely with consultants, nurses, health professionals and other hospital teams, providing accurate and timely administrative support across a busy clinical environment.
This is a varied role that would suit someone who is highly organised, approachable, confident using IT systems and committed to providing excellent customer service.
Key responsibilities
Your responsibilities will include:
- Managing consultant, pre-operative and other health professional clinic diaries, including creating and rearranging clinics using CC8.
- Reviewing and semi-triaging inpatient booking forms to establish the appropriate type of pre-assessment required.
- Offering and scheduling appointments for both NHS and private patients, ensuring patient information is accurate and complete.
- Taking payments where required.
- Preparing appropriate documentation for pre-assessment, cosmetic and urology appointments.
- Maintaining and managing relevant stock.
- Responding to incoming patient and departmental queries and escalating these to the appropriate team when necessary.
- Creating patient episodes of care on CC8, identifying, confirming and correcting information as required.
- Providing administrative support to consultants and nursing staff.
- Working effectively in a busy patient facing environment, using sound judgement and decision-making skills to respond appropriately to changing demands.
- Liaising with other hospital departments regarding patient admissions and discharges.
- Ensuring patient notes are appropriately tracked in line with patient movement.

- Previous experience in administration and data inputting.
- Strong organisational and time-management skills.
- Excellent communication and customer service skills.
- Experience using Microsoft Word and Excel.
- Ability to work independently and as part of a wider team.
- A professional, caring and patient-focused approach.
- Ability to prioritise tasks and respond positively to changing demands.
Desirable
- Previous experience working within a healthcare or hospital environment.
- Knowledge or experience of medical terminology.
- Experience using clinical or patient administration systems, particularly CC8.
