Job title: Portfolio Cleaning Supervisor
Responsible to: Portfolio Cleaning Manager
Job purpose: To help ensure that there is a safe, secure, well-maintained, pleasant working environment which is welcoming to occupiers, staff and visitors alike. The postholder is part of the site management team and will lead a team of cleaners, ensuring that a high standard of work is achieved.
Hours: 40 Hours per week. 5 out of 7 days on a rolling rota basis with some weekend working.
Roles and Responsibilities:
Staffing
- Assist with the induction and training of new members of the cleaning team.
- Arrange ‘on the job’ training for existing members of staff when appropriate.
- Advise the cleaning manager of any training needs that cannot be met working alongside colleagues.
- Allocate work areas for the cleaning team during operational times, taking into account any functions/events taking place during the evening.
- Motivate and encourage cleaning staff to do a good job, and lead by example.
- Monitor the work of the cleaning team.
- Ensure that the monitoring of cleaning standards is carried out and liaise with all departments in the event of complaints regarding cleaning standards. Address any concerns with the member of the cleaning staff, as appropriate.
- Discuss any concerns with the cleaning manager where serious or persistent problems arise with the work performance of members of the team.
- Assist the cleaning manager in matters relating to staff capability, disciplinary and grievance procedures in accordance with company policy.
In the absence of the Cleaning Manager where applicable
- Attend KPI Meetings
- Attend weekly operations meetings to provide updates on operational performance, staffing, and key business matters, whilst also receiving and communicating relevant operational updates to the wider team
- Producing weekly rotas to ensure the smooth operation of the portfolio needs and requirements, making necessary adjustments and flexibility
- Quality Auditing - carry out quality inspections 4 to 6 weekly across the portfolio. Report Quality Audit results to the Line Manager on completion and in readiness for the KPI meeting
- Ensure that each contract is always fully resourced with teams of operatives that have the training, capability and attitude to deliver the level of service required by Fidelis and the customer.
- Fit for purpose audits on applicable machinery; reporting faults and recommending any necessary repair or replacement required to the line manager
- Monitoring stock levels and placing stock orders
- Responsible for each contract P&L to ensure services are delivered and maintained within budget
- Managing and resolving day to day challenges and communicating with the Line Manager
Cleaning:
This is a hands-on role and will involve the post holder working with and /or alongside other team members in the physical activity of cleaning tasks, some of which are listed below.
- Emptying and washing out dustbins and waste containers
- Dusting
- Polishing or wiping available surfaces (tables, desks, shelves, work surfaces etc)
- Moving furniture so that the floors can be cleaned
- Vacuuming floors and material furniture
- Sweeping, scrubbing, buffing, polishing or mopping floors as appropriate
- Removing chewing gum and graffiti
- Wiping or washing walls, lockers, window ledges, skirting boards, radiators and pipework and furniture etc, as required.
- Straightening the furniture and leaving the rooms looking tidy.
- Cleaning showers, sinks and washbasins and the surrounding areas.
- Cleaning toilets and urinals. Wash both sides of the toilet seats. Disinfect urinals.
- Replenish soap, hand towels and toilet rolls as required.
- Keeping the cleaner’s cupboards tidy.
- Looking after the equipment and reporting any faults to the cleaning manager.
Supplies and Services:
- The postholder will ensure that the sorting and distribution of supplies is undertaken to the required standards; ensuring that all goods received are checked and dispersed as required.
- Maintaining adequate stocks of consumables in a secure manner, completing and checking orders for supplies and services, certifying accounts for supplies and services received.
Health and Safety:
- Ensuring that all areas are cleaned using the correct colour coded equipment.
- Ensure that chemicals are handled, used and stored correctly (follow COSHH assessment forms). Ensure that the cleaning team follows the risk assessments.
- Ensure that all the health and safety instructions are followed.
- Check that all cleaning staff are present if a fire alarm sounds and liaise with the duty Site Team Manager.
- Administer first aid when required.
- Attend training courses as required for first aid and the use of fire extinguishers and share good practice with the site team.
- Ensure that Health and Safety Regulations are complied with. Comply with company policies for example Safeguarding, Data Protection and e-safety. Confidentiality must be observed at all times.
Miscellaneous
Ensure that any deterioration or damage to the site is reported to the cleaning manager.
Working Arrangements
The normal rostered hours of work will be as per your rota. Occasionally it will be necessary to cover for the cleaning managers absence. Additional training will be given for this work.
These working arrangements will be reviewed regularly and may alter to consider the changing needs of the portfolio.
Decisions making:
Most decisions expected of this post are taken within well-established procedures, practices and routines. The post holder is expected to deal with variations from the accepted pattern or other unusual aspects. Where appropriate, the postholder should refer the matter to the cleaning manager.
