We are seeking a proactive and detail-oriented Framework Assistant to join our team. The ideal candidate will play a crucial role in coordinating and managing the routine wet well entry cleaning programme for our clients, ensuring the highest standards of service. Additionally, the Framework Assistant will be responsible for reviewing the quality of reports, maintaining internal progress spreadsheets, and providing forecast schedules to clients in advance. This role also involves supporting our Frameworks Manager in 'Board' preparation and distribution during their absence. The Framework Assistant will further contribute by sending weekly availability emails to clients.
Responsibilities:
1. Routine Entry Cleaning Programme:
- Plan and coordinate the routine entry cleaning programme across all clients.
- Ensure timely execution and adherence to established cleaning standards.
2. Quality Review of Reports:
- Review and assess the quality of reports submitted by team members.
- Provide constructive feedback to enhance report accuracy and completeness.
3. Internal Progress Spreadsheets:
- Maintain and update internal progress spreadsheets regularly.
- Track key metrics and indicators to monitor project status and performance.
4. Forecast Schedules:
- Work collaboratively with clients to provide forecast schedules in advance.
- Communicate any changes or adjustments promptly and efficiently.
5. Board Preparation Support:
- Assist Framework Manager in preparing and distributing 'Board' materials during their absence.
- Ensure all necessary documentation is organised and accessible.
6. Weekly Availability Emails:
- Send weekly availability emails to clients, outlining upcoming schedules and activities.
- Address any client inquiries or concerns promptly and professionally.
Qualifications:
- Previous experience in project coordination, administrative support, or a similar role.
- Strong organisational skills with attention to detail.
- Excellent communication skills, both written and verbal.
- Proficient in using spreadsheet software and project management tools.
- Ability to multitask and prioritise tasks effectively.
- Clear Substance Misuse & Alcohol Policy with mandatory testing at induction and random testing
