Office Administrator (Full-time or Part-time, Flexible Hours)

Pay: Up to £30,000 per year (pro rata for part-time)
About the role
We're looking for a well-organised, proactive Office Administrator to provide administrative and organisational support across two busy, growing companies: Noble Painting & Decorating and J&H Lynch Limited.
This is a flexible role and we'll happily shape the hours around the right person. Full-time or part-time, with flexibility on daily hours and start times. You'll work closely with all of our office staff, project managers and directors, acting as a central point of contact and keeping both businesses running smoothly day to day.
You'll be confident handling a variety of tasks, switching between the needs of two complementary construction and trade businesses, and using modern tools, including AI, to work smarter and faster. If you like variety, a fast pace, and being the person who keeps everything ticking over, you'll fit right in.
What you'll be doing
Clients & enquiries
- Manage and respond to incoming enquiries by phone, email, website and social media.
- Be the main point of contact for clients, from first enquiry through to work starting on site.
- Prepare and issue quotations accurately and promptly, follow up on outstanding quotes, and help turn enquiries into confirmed jobs.
- Support scheduling of works and coordinate job start dates.
- Always deliver a high standard of customer service.
Systems & suppliers
- Keep our CRM and job records accurate and up to date for reporting and tracking.
- Book in suppliers and arrange delivery of materials to site.
- Help onboard new subcontractors, gathering the right documents (insurance, compliance, contact details).
- Build strong working relationships with suppliers and subcontractors.
Fleet & assets
- Maintain records for the company vehicle fleet, including insurance, servicing, MOTs and compliance.
- Coordinate vehicle servicing and repair bookings.
Marketing & business support
- Support marketing activities including SEO, online citations and keeping business listings up to date.
- Help maintain our online presence across directories and platforms.
- Assist with basic financial admin, document management and ad-hoc tasks for directors and the wider team.
What we're looking for
Essential
- Confident, capable user of AI tools, with a genuine interest in using them to work more efficiently. (We use AI day to day and want someone who'll embrace it.)
- Previous experience in an administrative or office support role.
- Excellent written and verbal communication, with a professional, friendly telephone manner.
- Strong organisation and time management, comfortable juggling multiple tasks and priorities.
- High attention to detail and accuracy.
- Confident with Microsoft Office (Word, Excel, Outlook) and CRM systems.
- Able to work independently, use initiative and take ownership.
- Strong customer service skills and the ability to build rapport.
- Experience preparing quotations or similar documentation.
- A good understanding of the building/construction industry, or a real willingness to learn it.
Desirable
- Experience in painting & decorating, screed, render or wider construction.
- Basic understanding of accounts (logging invoices and purchase orders).
- Experience with marketing, such as SEO, online directories or social media.
- Knowledge of vehicle or fleet administration.
- Experience onboarding subcontractors and managing compliance documents.
- Familiarity with job or project management systems.
