The Role:
We are looking for an organised and proactive Facilities Operations Coordinator to join our team in Chester. In this vital role, you will act as the central hub connecting our site maintenance crews, trade contractors, suppliers, and central finance team.
You will own the lifecycle of site repair work from initial request ticket through to scheduling, material sourcing, expense tracking, and final financial reconciliation.
Key Responsibilities:
- Monitor, triage, and manage incoming maintenance and repair tickets via an internal system
- Schedule and dispatch internal maintenance crews and external trade contractors, prioritising urgent works
- Communicate daily with site leads and property managers to keep them updated on job progress
- Source, order, and track delivery of maintenance materials, equipment, and required skip hires
- Build positive relationships with trade suppliers to secure reliable delivery times and fair pricing
- Track operational spending and record expenses against site budgets
- Collect, verify, and match job sheets, delivery notes, purchase orders, and contractor invoices
- Collate and prepare complete financial documentation for Central Finance to ensure seamless end-of-month processing
Requirements:
- Background in facilities administration, maintenance coordination, property operations, or a similar trade liaison role
- Proven ability to multitask, manage high volumes of repair requests, and maintain clear paper trails under deadline pressure
- Comfortable working with helpdesk/ticketing systems, Excel, and basic invoice matching software
- Excellent interpersonal skills with a confident approach to liaising with contractors, internal care staff, and finance teams
- Proactive attitude toward resolving delays, supplier shortages, or site scheduling conflicts
