Job Title: Part-Time Club Bookkeeper
Location: 125 Vicarage Hill, Benfleet, Essex, SS71PD
Position Type: Part-Time (3 days per week / 24 hours)

Reports To: Club Manager / Financial Director
Job Role
To manage the day-to-day financial transactions of the golf club, ensuring accurate ledger maintenance, timely supplier payments, and efficient membership billing using Sage accounting software and Club V 1 software.
Core Responsibilities
Daily Financial Operations
- Sage Management: Maintain up-to-date and accurate records across sales, purchase, and nominal ledgers.
- Cash Reconciliation: Reconcile weekly cash, card, and online takings from the bar, catering, and pro shop.
- Bank Reconciliations: Perform regular bank reconciliations across all club accounts.
Membership & Sales Ledger
- Subscription Billing: Set up, issue, and manage annual and monthly membership fee invoices working collaboratively with the Club Secretary.
- Direct Debits: Process monthly direct debit collections and reconcile member accounts.
- Credit Control: Monitor outstanding member fees and chase overdue balances.
Accounts Payable & Compliance
- Supplier Payments: Process supplier invoices, resolve queries, and prepare payment runs.
- VAT Returns: Assist in preparing VAT returns, including partial exemption calculations which is typical for golf clubs.
- Payroll Support: Prepare monthly payroll data, hours, and variations for submission to our payroll processor.
- Prepare Monthly Management Accounts: Prepare a monthly P&L to include backup spreadsheets.
Key Requirements
Experience & Qualifications
- Sage Software: Proven, hands-on experience using Sage Accounting.
- Bookkeeping Background: Minimum 2–3 years of bookkeeping experience, ideally within hospitality, leisure, or a membership-based business.
- Financial Literacy: Strong understanding of double-entry bookkeeping, trial balances, and VAT processes.
Skills & Attributes
- Excel Skills: Proficient in Microsoft Excel for data analysis and reporting.
- Attention to Detail: High accuracy in data entry and a methodical approach to spotting discrepancies.
- Communication: Excellent communication skills to liaise with members, suppliers, and the club management team.
