We're looking for a highly organised, proactive and detail-focused Office Co-ordinator to become a key part of our business.
This is a varied role at the heart of our operations, supporting our business to ensure everything behind the scenes runs smoothly. From coordinating our vehicle fleet and maintaining compliance records to supporting accounts administration and keeping the office running efficiently, you'll play an important role in helping the business deliver for our customers every day.

What you'll be doing
You'll provide administrative and operational support across a wide range of business functions, including:
- Coordinating our company vehicle fleet, including servicing, MOTs, repairs, vehicle records and weekly tracker reporting.
- Managing the procurement of PPE, office supplies, equipment and business services, ensuring stock levels are maintained.
- Providing finance administration support including taking responsibility for all supplier invoice processing, purchase ledger maintenance, expense administration, and light bookkeeping.
- Supporting the day-to-day running of the office, including answering telephone enquiries and maintaining an organised working environment.
- Assisting with health & safety, ISO administration and compliance documentation, ensuring records are accurate and audit-ready.
- Maintaining departmental documentation, RAMS and client records, and supporting contract administration.
- Helping to keep our shared business systems and filing structure organised and up to date.
- Supporting accurate record keeping across multiple business systems and departments.
About you
We're looking for someone who has:
Essential
- Previous experience in an office administration, office co-ordination or business support role within a busy environment.
- Exceptional organisational skills with the ability to manage multiple priorities, meet deadlines and adapt to changing business needs.
- Excellent attention to detail and a commitment to producing accurate, high-quality work.
- Strong IT skills with confidence using Microsoft Office applications and the ability to learn new systems quickly.
- Numerate and comfortable working with financial information, maintaining accurate records and checking data for accuracy.
- Excellent written and verbal communication skills with a professional and friendly manner.
- A proactive approach with the confidence to work independently, identify what needs doing and take ownership of tasks through to completion.
- Reliable, trustworthy and dependable, with a positive attitude and willingness to support colleagues across different areas of the business.
- A desire to learn, develop new skills and continually improve processes.
Desirable
- Experience using Xero or a similar accounting package. However, full training will be provided for the right person.
- Purchase ledger, accounts administration or finance support experience.
- Fleet, vehicle or transport administration experience.
- Experience working within construction, landscaping, facilities management, maintenance or another operational business.
- Experience maintaining compliance records or supporting ISO, health & safety or quality management systems.
- Experience with procurement, supplier management or stock control.

Working Hours and Location: 8.30am to 5pm office based in a spacious office in Southwick. Parking onsite available.
