Job Title: Support Secretary
Location: Arrowe Park Hospital, Upton Road CH49 5PE
Hours: 22.5 Monday – Wednesday 9.00 – 5.00 pm
Trust Location: Wirral University Teaching Hospital NHS Foundation Trust.
We are expecting this placement to last 3-6 months however it may change due to service need.
What you’ll be responsible for:
Manage own workload, reporting back to the line manager regarding any problems arising.
Communicate with patients regarding appointments and referrals
Responsible for typing reports and letters for consultants and arranging appointments
General office duties as required
Referring work for external reporting when required booking in/out material as required
Ensure effective communication with the Trust and between hospitals, General Practitioners and patient
Maintain patient medical records, including a system for requesting, recording, dispatch and receipt of medical records.
Provide a secretarial service, accurately producing from audio/copy, patient related correspondence, reports, discharges of a sensitive and complex nature using appropriate software and within specific timescales.
If required, track patient pathways ensuring all investigations are arranged including MDT’s and diagnostics.
Type and prepare booklets prior to printing and preparing PowerPoint presentation and hand-outs
Receive incoming telephone calls, using judgement to establish validity/priority of content.
Check patient details on Cerner as required and help to maintain up-to-date information.
Liaising with consultants and making appointments for patients where appropriate.
You’ll learn the following whilst working at the trust:
1. An in depth understanding of the roles and responsibilities involved in working within the NHS
2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times
3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation
You’ll have the following skills/experience:
AMSPAR Medical Terminology Certificate, or equivalent qualifications/experience
RSA Level II word processing or equivalent
Experience of Audio-typing
Experience of working in an administrative role
Previous administrative experience working with in the NHS or medical environment
Good IT skills, including use of Microsoft office
Good time management/organisational skill
Awareness of Trust guidelines regarding complaints, confidentiality etc
Ability to deal with sensitive issues with tact and diplomacy
Polite conscientious and courteous
Able to recognise and escalate issues out of scope of role
