About the role:
Due to continued regional growth, we're looking for a talented Office Manager to take ownership of the smooth, efficient and professional running of our busy Birmingham and Leicester offices. You'll split your time between both locations, typically spending two days a week in each office and one day working from home, while supporting our project teams across a varied and rewarding range of activities.
The role covers facilities, health & safety, compliance, administration, business support and workplace services, making you a key point of contact for employees, senior management, suppliers and other stakeholders.

You don't need experience in every aspect of the role - we're looking for the right attitude, aptitude and willingness to learn, with full training provided on our systems, processes and role-specific requirements.
How you'll contribute:
Health, Safety, Compliance & Business Assurance
- Coordinate office health & safety, compliance and workplace requirements, ensuring relevant training, inspections, records and documentation are maintained.
- Support audits, statutory inspections, supplier and landlord compliance, insurance, quality assurance and business assurance activities.
- Oversee environmental and workplace compliance, including waste management and related requirements.
Office Operations, Facilities & Workplace Management
- Oversee the day-to-day operation of both offices, coordinating facilities, maintenance, security, access, equipment, suppliers and workplace services.
- Manage employee onboarding and offboarding, office purchasing, expenses, records and administrative processes.
- Provide basic first-line IT and administrative support and coordinate office communications, events and employee initiatives.
- Identify and implement improvements that enhance office efficiency and employee experience.
Executive & Business Support
- Provide administrative and operational support to the Office Director and wider team, including meetings, communications, reporting and business documentation.
- Support financial and commercial administration, including fee tracking, invoicing, WIP, budgeting, reconciliations and liaison with Finance and clients.
- Maintain professional and business trackers, including CPD and project-related records.
- Support project, bid, tender and contract administration, including relevant digital systems and processes.

You will be confident managing a varied workload, working with people at all levels and responding calmly and practically to changing priorities.
Essential skills and experience:
- Strong organisational and administrative skills, with excellent attention to detail and the ability to manage multiple tasks, deadlines and priorities effectively.
- Experience in an office management, administration, business support or coordination role, ideally within a professional services or project-based environment.
- Excellent communication and interpersonal skills, with the confidence to build effective working relationships with internal and external stakeholders.
- A proactive and solutions-focused approach, with the ability to identify issues, take ownership and implement practical improvements without always needing direction.
- Strong IT and digital skills, including confidence using Microsoft Office and the ability to learn new systems and software quickly. Experience with document management, electronic signatures or contract systems would be advantageous.
- Good financial and commercial awareness, with experience or an aptitude for managing invoices, purchasing, expenses, reconciliations, trackers or other financial administration.
- A willingness to learn and develop, particularly in relation to health & safety, compliance, business assurance and the specific systems and procedures used by the business.
Desirable experience:
Experience in any of the following areas would be beneficial, although full training will be provided where required:
- Office or facilities management, particularly across multiple locations.
- Health & safety coordination, workplace compliance or business assurance.
- Supporting audits, maintaining compliance records or managing statutory inspections.
- Procurement, supplier management or facilities contracts.
- Finance administration, fee tracking, invoicing or budget monitoring.
- Bid, tender, contract or project administration.
- Professional services, property, construction, surveying or another project-led environment.
- Coordinating office events, employee engagement initiatives or workplace improvements.
