Note: This role follows a 5 over 7 schedule and may include Saturday shifts, with days off taken during the week as needed to meet operational demands.
We are seeking a meticulous Buying Administrator to support our buying team with a strong emphasis on quality control, image verification, accurate data entry, and product information validation. This role is essential in ensuring that product listings and purchasing decisions are based on high-integrity data and visuals.
Key Duties:
1. Quality Control (QC)
- Inspect physical product samples for compliance with quality standards.
- Verify that incoming products meet approved specifications and vendor agreements.
- Report any inconsistencies or quality issues to the Buying team.
2. Image & Visual Checks
- Take clear, well-lit photos of product features and packaging using in-house equipment.
- Ensure images meet brand standards and platform requirements (angles, resolution, backgrounds).
- Upload and tag images correctly in the product management system (e.g., StoreFeeder).
3. Data Entry & Product Setup
- Input accurate and complete product data into StoreFeeder (e.g., SKUs, titles, dimensions, materials, weights).
- Maintain and update product listings with correct and validated information.
- Cross-check product data with supplier documents to ensure accuracy.
4. Attention to Detail
- Audit purchase orders and supplier confirmations to ensure alignment with approved specs.
- Proofread product descriptions and listing content before final upload.
- Track and report anomalies or discrepancies in product data or images.
Review & Root Cause Analysis for Poor Reviews
- Monitor and analyse customer reviews for recurring product issues or complaints.
- Investigate potential root causes for negative feedback (e.g., misleading images, inaccurate descriptions, defects).
- Escalate findings to the relevant internal teams for correction or action.
Key Skills & Qualifications
- Strong attention to detail, especially when working with product data and images.
- Comfortable using digital cameras or smartphones for in-house product photography.
- Familiarity with StoreFeeder or similar inventory/order management systems.
- Analytical mindset to identify issues and trace root causes in customer feedback.
- Good communication skills for coordinating with suppliers and internal departments.
