As our practice continues to thrive, we are seeking a detail-focused and proactive Legal Costs Specialist / Costs Lawyer / Senior Costs Clerk to oversee our financial recovery, billing operations, and third-party negotiations primarily focused under the Civil RTA fixed costs regime.
Key Responsibilities
Financial Administration & Transaction Management
- Fund Transfers & Disbursals: Oversee electronic bank transfers (BACS) and cheques.
- Ledger Accuracy: Generate precise posting slips for every financial transaction entered, ensuring accurate record-keeping.
- Docu-Management: Systematically categorize & assist in processing cheques.
- MI Data Maintenance: Continuously log and refresh internal financial spreadsheets.
- Payment Reconciliation: Efficiently void, recall, and manage cheques as required.
- Third-Party Liaison: Proactively contact opposing parties to acquire comprehensive payment breakdowns and case references.
Tiered Billing & Quality Assurance
- Standard Auditing: Conduct comprehensive file reviews prior to finalizing pre-drafted invoices to catch errors. Reject non-compliant invoices and execute corrections.
- Disbursement Processing: Dispatch formal schedules and disbursement invoices to opposing insurers and legal representatives.
- Intermediate Track Ledgering: Critically analyze, refine, and amend high-value invoices. Provide clear feedback and collaborative support to Case Handlers.
- Post-Settlement & Litigation Billing
Costs Draftsmen Collaboration – whilst rare under the new regime, candidates may have to interface with our external cost draftsmen on matters such as budgets, non- fixed costs cases and costs assessment hearings.
Recovery, Negotiation & Stakeholder Management
- Arrears Chasing: Persistent follow-up via phone and email with defendant representative to expedite outstanding payments.
- Cost Optimization: Negotiate dynamic settlements on legal fees and disbursements, communicating directly with medical/expert agencies to secure fee reductions such as matters where fees have not been successfully recovered.
About You: Skills & Experience
- Proven experience working as a Costs Lawyer, Costs Draftsman, or Senior Costs Clerk within a law firm.
- an understanding of solicitor-and-client/party-and-party costs.
- communication and negotiation skills - comfortable asserting terms with defendant insurers.
- Proficiency in legal case management systems (CMS) preferably Proclaim and MS Excel skills.
- Brings a highly organized approach with the ability to manage multiple track billing streams.
