Job Summary
We are seeking a highly organised and detail-oriented Administrative Assistant to support our office operations. The successful candidate will play a vital role in maintaining efficient administrative processes, managing correspondence, and providing exceptional support to team members. Responsibilities
- Process incoming sales orders with accuracy, ensuring all details are correct before dispatch
- Obtain quotes, organise and schedule transport collections with carriers, optimising timings to meet delivery deadlines
- Use various customer portals to upload order details, track shipments, and update delivery statuses
- Liaise with customers, suppliers, and transport partners to resolve queries and provide timely updates.
- Support the sales team with administrative tasks, including preparing invoices, updating CRM systems, and generating reports.
- Manage incoming calls with professional phone etiquette, directing enquiries and taking messages as required
- Organise and maintain files, records, and documentation in both physical and digital formats
- Perform data entry tasks accurately using Microsoft Office, stock systems, and accounting systems such as Xero
- Assist with scheduling appointments, meetings, and calendar management for team members
- Prepare correspondence, reports, and presentations as needed
- Ensure the smooth operation of daily office activities by providing timely support to colleagues
Skills
- Proven experience in an administrative role, ideally within wholesale, logistics, or a fast-paced sales environment
- Strong organisational skills with the ability to manage multiple priorities and deadlines
- Confident using customer portals, order processing systems, and Microsoft Office / Excel
- Excellent communication skills—clear, professional, and customer-focused
- A proactive, problem-solving mindset and the ability to work independently as well as part of a team
- Proven office experience with strong organisational skills
- Strong typing skills with high accuracy and attention to detail
- Good knowledge of data entry procedures and clerical practices
- Effective communication skills with professional phone etiquette
- Ability to prioritise tasks efficiently in a fast-paced environment

Pay: £25,420.00-£28,000.00 per year
