The Role
Admin PA provides comprehensive executive and administrative support to the UK Operations Manager. The role is responsible for coordinating domestic and international travel arrangements, managing executive schedules, administering financial processes, supporting corporate governance activities, and serving as a key liaison between UK operations, Vale Base Metals Corporate teams and external stakeholders. The position operates with a high level of autonomy, regularly handles confidential and commercially sensitive information, and contributes to the efficient operation of the UK business through professional administrative, financial and organisational support. Key Responsibilities
· Provide proactive executive support to the UK Operations Manager, managing diaries, appointments, correspondence and administrative requirements.
· Organise and coordinate domestic and international travel arrangements, including flights, accommodation, transport, visa requirements and travel documentation.
· Arrange meetings, leadership events and conferences, ensuring meeting materials, venues and logistics are effectively coordinated.
· Act as a point of contact for executive visitors, customers and senior stakeholders, coordinating visits, accommodation and meeting arrangements.
· Maintain highly confidential employee, business and corporate information in accordance with Vale policies and data protection requirements.
· Process invoices, expenses, special payments and supplier-related transactions, ensuring compliance with Vale financial controls and approval processes.
· Administer company credit card processes, maintaining accurate records and supporting financial governance requirements.
· Support corporate governance activities through liaison with Vale Base Metals Legal department and other business functions, ensuring legal documentation and statutory requirements are completed and maintained appropriately.
· Coordinate employee recognition programmes, educational awards, community donations and other employee engagement initiatives.
· Liaise with insurance providers, legal representatives, corporate functions and external stakeholders when processing documentation and administrative requirements.
· Produce reports, presentations, correspondence and business documentation using a range of office systems and software applications.
· Support continuous improvement of administrative processes and undertake special projects as requested by management.

The Ideal Candidate
The ideal candidate will have a Business Studies Diploma/ PA Qualification or equivalent at Level 3. Knowledge of SAP systems would be a desired skill for this role. Experience of working as a PA in a large Multinational Organisation would also be a requirement for this role along with strong emotional intelligence skills and excellent communication and interpersonal skills. Confidentiality is vitally important for this role so integrity and experience of working with Senior Leaders is a must. The ability to organise and coordinate initiatives is a staple for this role as is the ability to work to tight timelines and under pressure so resilience and composure is required for this role also.
