Administrator – Building Services / Facilities Maintenance
Role Overview
We are looking for a highly organised and proactive Administrator to join our growing team within the building maintenance / facilities management sector.
This role plays a key part in supporting the day-to-day operation of our contracts, ensuring smooth communication between engineers, account managers, and clients, and helping us deliver a consistently high level of service.
While experience within the building or facilities maintenance industry is desirable, it is not essential. Full training will be provided, and industry knowledge will develop over time for the right candidate.
Key Responsibilities
- Raising purchase orders (POs) and ensuring they are accurately recorded and processed
- Preparing and issuing quotes to clients in a timely manner
- Liaising daily with engineers to coordinate works, confirm attendance, and resolve queries
- Supporting Account Managers with administrative and operational tasks
- Acting as a point of contact for clients, ensuring excellent communication and service delivery
- Updating internal systems with job progress, completion notes, and documentation
- Managing emails, calls, and general administrative duties related to maintenance activities
- Assisting with invoicing and job closure where required
Skills & Experience
Essential:
- Strong administrative and organisational skills
- Confident communicator, both written and verbal
- Ability to manage multiple tasks in a fast-paced environment
- Good attention to detail and problem-solving skills
- Proficient in Microsoft Office (Excel, Outlook, Word)
Desirable:
- Previous experience within building maintenance, facilities management, or a similar industry
- Experience working with engineers, contractors, or service providers
- Familiarity with raising POs, quotes, or job management systems
