We are building a world-class organisation — and we now need a highly capable Operations Manager to strengthen our operational backbone, drive efficiency, lead company-wide implementation, and support our CEO in delivering excellence across the entire business.
The Role
This is a senior operational leadership role where you act as the right hand to the CEO, ensuring the business runs smoothly, efficiently, and consistently as we scale.
You will be responsible not just for designing processes — but for implementing them, embedding them, and ensuring they are followed across all departments.
This is a build, implement, optimise, enforce, and continuously improve role.
Your Core Responsibilities
Strategic Operational Leadership
- Act as the operational partner to the CEO, providing strategic input, execution support, and cross-department oversight.
- Translate high-level commercial and operational strategies into clear implementation plans across the organisation.
- Maintain strong operational rhythm, discipline, and structure to support fast growth.
Implementation & Execution Leadership
- Lead the end-to-end implementation of new systems, processes, workflows, and operational improvements across all departments.
- Ensure every operational change is rolled out effectively through clear communication, training, documentation, and follow-up.
- Track adoption of new processes and ensure teams fully embed operational changes into daily practice.
- Hold departments accountable for implementation deadlines, quality standards, and execution accuracy.
- Work closely with the CEO to turn strategic decisions into practical, business-wide execution plans.
Process, SOP & Systems Excellence
- Lead the creation, documentation, and continuous improvement of Standard Operating Procedures (SOPs) across all teams.
- Ensure every department operates from accurate, standardised, scalable processes.
- Manage and optimise the organisation’s CRM (Ontraport), including system improvements, integrations, automations, and adoption.
- Identify operational inefficiencies and implement scalable solutions that improve speed and effectiveness.
Training, Onboarding & Documentation
- Produce high-quality training materials, onboarding documents, and operational manuals.
- Ensure all teams receive consistent training when new processes, systems, or tools are implemented.
- Maintain an organised and accessible library of operational resources for the entire business.
Operational Reporting & Performance Tracking
- Produce clear, actionable reports for the CEO and senior leadership on operational KPIs, performance metrics, project status, and risks.
- Implement tracking systems that drive accountability and ensure execution accuracy.
- Monitor progress on operational initiatives and take proactive action when performance slips.
Cross-Functional Collaboration
- Work closely with department heads to ensure operations, delivery, customer experience, marketing, sales, and finance run cohesively.
- Support cross-functional initiatives, ensuring operational execution aligns with commercial goals.
- Facilitate smooth coordination across all departments involved in project delivery.
Project & Change Management
- Lead multiple operational projects at once, ensuring timelines, responsibilities, and outcomes are clearly managed.
- Support business-wide change initiatives through structured implementation, communication, and monitoring.
- Drive continuous improvement and maintain high momentum across all operational workstreams.
Risk Management & Operational Integrity
- Identify operational risks early and put mitigation strategies in place.
- Implement controls and frameworks that protect the quality of service, data accuracy, and team performance.
- Ensure all teams operate in line with internal standards and best practice.
What We’re Looking For
- Experience in a senior Operations Manager or Business Operations role within a fast-paced, scaling organisation.
- Strong ability to design, implement, and improve SOPs, processes, and operational systems.
- Experience implementing and managing CRM systems (ideally Ontraport or similar).
- Exceptional organisational skills and ability to manage complex cross-department initiatives.
- Strong analytical skills with confidence turning data into actionable improvements.
- A proactive, high-discipline operator who thrives in scale-up environments.
- Excellent communication skills with the ability to influence at all levels.
- Experience in education, coaching, construction, or service-led environments is an advantage.
