Overview
We are seeking a highly organised, professional, and detail-oriented Administrator & HR Assistant to join our team. This varied role combines administrative support with key HR responsibilities, helping to ensure the smooth running of our care home services and supporting our managers and staff.
The successful candidate will play a vital role in maintaining efficient office operations, supporting onboarding and employee administration processes, and ensuring accurate record-keeping and compliance within a busy care environment.
This is an excellent opportunity for someone with strong administrative skills who is looking to develop or expand their experience within Human Resources and the care sector.
Key Responsibilities
Administration
- Manage day-to-day administrative tasks including filing, data entry, record management, and correspondence.
- Handle incoming telephone calls professionally and direct enquiries appropriately.
- Organise schedules, appointments, meetings, and training sessions.
- Prepare reports, letters, presentations, and other documentation using Microsoft Office and Google Workspace.
- Maintain accurate electronic and paper-based records in accordance with company policies and GDPR requirements.
- Support invoicing, billing, and financial administration using QuickBooks or similar systems.
- Order and maintain office supplies and ensure office environments remain organised and efficient.
- Provide administrative support to Home Managers and senior team members as required.
HR Support
- Support the onboarding process for new employees, including preparing offer letters, contracts, and induction documentation.
- Process DBS applications, reference requests, and Right to Work checks.
- Maintain accurate employee personnel files and HR records.
- Monitor staff training compliance and support managers in arranging mandatory training.
- Track probation reviews, visa expiry dates, professional registrations, and other compliance requirements.
- Assist with absence management administration, including recording sickness, return-to-work documentation, and annual leave records.
- Support managers with HR documentation relating to disciplinary, grievance, capability, and performance management processes.
- Produce workforce and compliance reports as required.
- Ensure employee information is handled confidentially and in accordance with GDPR and employment legislation.
Skills & Experience
Essential
- Previous experience in an administrative or office support role.
- Excellent organisational skills and attention to detail.
- Strong computer skills, including Microsoft Office (Word, Excel, Outlook, PowerPoint) and Google Workspace.
- Experience maintaining accurate records and managing confidential information.
- Excellent communication skills, both written and verbal.
- Professional telephone manner and customer service skills.
- Ability to prioritise workload and work independently.
- Strong problem-solving skills and ability to multitask in a busy environment.
Desirable
- Previous experience in a care home, healthcare, or social care setting.
- Experience supporting HR processes or working within a Human Resources environment.
- Knowledge of employment legislation and HR best practices.
- Familiarity with DBS processes, recruitment administration, and workforce compliance requirements.
- Experience using QuickBooks or similar accounting software.
