An opportunity has arisen for a part time Band 2 Receptionist based within The Institute in the Park (Alder Hey Children’s NHS Trust).
We are looking for enthusiastic, friendly, motivated individual with excellent communication skills.
You will be the first point of contact for all visitors as well as respond to enquiries via email and telephone. Applicants must therefore demonstrate strong IT skills and experience of Microsoft Outlook.
The successful candidate will be part of a supportive team working within a fast paced and busy educational environment. Applicants must be flexible with a willingness to support both their immediate team and wider Academy provision which will include large scale events and internal conferences / meetings.
Please note that the successful applicant will be expected to work x3 days per week with core days being Monday to Wednesday. However we do require flexibility to fit in with business needs.
Provide reception services and administrative support for staff within the Institute in the Park. The post-holder will be well-organised with good interpersonal skills and be hard working, conscientious and enthusiastic. He or she must also be amenable to evening and/or weekend working. The ability to communicate effectively and politely with both external and internal visitors to the organisation is a necessity. Experience of using Microsoft, excellent keyboard skills and reception duties are essential.
A full induction to the Service and the Trust will be provided .However, following appropriate training and guidance, it is anticipated that the post holder will be able to assume responsibility for specific blocks of work with minimal supervision.

Principal Duties
- To act as Receptionist at the Institute in the Park, this will require dealing with staff and visitors in a courteous and friendly manner.
- To co-ordinate room bookings for meetings using the electronic database Bookwise, and be responsible for the setting up of meeting rooms in accordance with client’s requests.
- To ensure that all telephone calls received are actioned appropriately.
- To provide clerical support to staff during busy periods which may include word processing, photocopying, faxing, or collating papers, etc.
- Assist in re-arranging seminar rooms, move furniture, move and handle paper, PC’s etc.
- Ensure that requests for hospitality are processed in accordance with local systems.
- Assist in the processing of internal/external mail.
- Liaise with all academy staff to ensure that visual aid equipment is available and to provide support to clients using A/V equipment as requested
- Undertake the requisitioning of stationery/ catering/ educational items.
- To report any minor work/repairs to the Estates Department as requested.
- Liaise with contractors regarding servicing/repair of on-site equipment and ensure that visitors or contractors complete the relevant signing in procedures.
