Job title: Administrator.

Reporting to: Executive Director/Day Service Manager
Hours: Monday to Friday 8.30am-2.30pm.
Pay: £15-£18.75 per hour (depending on experience and qualifications)
6 weeks paid annual leave inclusive of bank holidays and enrolment into a workplace pension scheme.
Main duties and responsibilities:
This is not an exhaustive list, and duties will evolve and develop in line with the growth and development of the charity and the outreach Network.
Administrative Support
· Being the main lead in reception duties, including answering telephone calls, emails, and greeting visitors; acting as a first point of contact.
· Supporting vulnerable volunteers with these tasks
· To liaise with transport providers and coordinate transport bookings.
· Maintain accurate service user attendance records, databases, and filing systems in line with GDPR and confidentiality requirements.
· Process reports, letters, meeting minutes, and other documentation as required.
· Support the management team with scheduling appointments, meetings, and keeping the service diaries up to date to include staff, volunteer and service user absences.
· Support communication between service users’ home and IMPACT
· Assist in the admin of referrals, admissions, and service user documentation.
· Assist in the facilitating of service users’ annual reviews.
· Support activities, performances, workshops and outings with registers, consent forms and transport arrangements.
· To take accurate records of staff meetings and distribute them to all staff.
· Receive and record deliveries and post
Financial Administration, Supporting the Finance Officer with;
· Handle petty cash and service users’ money and keep accurate records
· To manage service users’ letters and organise any trip money received /Collate and record trip and outing money
· To assist with events, productions and workshop money, including the sale of tickets
Compliance & Record Keeping
· Ensure all records are maintained in accordance with company policies and regulatory requirements.
· Managing the signing in sheets and insuring recording and accuracy.
· Assist in the monitoring of training records, DBS renewals, and staff compliance documentation.
· Assist with audits, inspections, and quality assurance processes.
· Assist with the organising and continuation of the main and class registers
· To complete daily register statistics
· To maintain and update service users’ files and occurrence sheets, etc
General Office Duties
· Monitoring, evaluating and ordering office and service supplies, liaising with suppliers, and managing office equipment.
· To provide first aid support, full training will be provided.
· Ensure first aid provisions are up to date across the building.
Building & Health and Safety
· Assist with the facilitating of Health and Safety around the building including risk assessments and compliance.
· Assist with admin of facilities management.
· To use and review CCTV system when needed. Training will be provided.
