Job Summary
The Service Coordination Support role plays a key support role within the Service Department, helping to keep field service engineers moving efficiently between jobs and customers fully informed throughout. Working closely with the Service Coordination and sales team, this role provides administrative and communication support that keeps electrical installation, planned maintenance, fault call and emergency response work running smoothly, from job scheduling and paperwork through to supplier liaison and customer updates.
Support the coordination team with day-to-day customer engagement, acting as a helpful and professional point of contact by phone and email.
- Assist with scheduling and allocating tasks to field service engineers, helping to plan efficient routes and prioritise urgent or emergency work.
- Ensure risk assessments and method statements (RAMS) are prepared, issued and filed correctly ahead of site visits.
- Keep customers updated on job status, appointment times, delays and completion, proactively communicating rather than waiting to be chased.
- Liaise with suppliers to check stock availability, place orders and track deliveries of materials needed for scheduled jobs.
- Maintain accurate records within the job management/CRM system, ensuring job notes, statuses and documentation are kept up to date.
- Support the processing of job sheets, engineer reports and other paperwork required to close out completed work.
- Help coordinate responses to fault calls and emergency callouts, ensuring the right engineer and information reach site quickly.
- Escalate scheduling conflicts, customer concerns or supply issues to the Service Coordination Team Leader as needed.
- Provide general administrative support to the wider coordination and service team as required.
Responsibilities
- Coordinate and schedule field service technicians for maintenance, installation, and troubleshooting tasks on critical power systems.
- Supervise on-site activities, ensuring safety protocols and quality standards are strictly followed.
- Manage project timelines by monitoring progress and adjusting schedules as needed to meet deadlines.
- Communicate effectively with clients, technicians, and internal teams to ensure smooth operations and clear expectations.
- Oversee the preparation of technical documentation including schematics, maintenance reports, and service logs.
- Provide leadership and guidance to field teams, fostering a collaborative environment focused on safety and excellence.
- Assist in managing inventory and procurement of parts such as programmable logic controllers (PLCs), electrical components, and mechanical parts required for field operations.
Qualifications
- Excellent verbal and written communication skills, with confidence using the telephone and email as primary tools of the role.
- A clear, professional and friendly manner when dealing with customers, engineers and suppliers.
- Strong organisational skills with the ability to manage multiple tasks and changing priorities.
- Good attention to detail, particularly when handling documentation such as RAMS and job records.
- Competent user of Microsoft Office (Outlook, Word, Excel) and comfortable learning job management/scheduling software.
- Previous experience in a service coordination, scheduling, customer service or administrative support role is desirable.
- Experience within a field service, electrical, construction or engineering environment is an advantage but not essential.
- A calm, level-headed approach, particularly when supporting fault calls or emergency response situations.
- A team player who is equally comfortable working independently and using initiative.
Full time role although part-time may be considered depending on hours available

Pay: £25,420.00-£35,000.00 per year
