Customer Service Co-Ordinator
Location: Ballards Head Office - Markham Moor
Hours: Monday to Friday, 8:00am – 5:00pm
Reports to: Operations Manager / Transport Manager
Role Overview
We are seeking a proactive and organised Customer Service co-ordinator to support our Pallet Network and Haulage Desks. This role is key to ensuring smooth day-to-day transport operations by monitoring deliveries, maintaining clear communication with hauliers and customers, and proactively managing service issues.
The successful candidate will play a vital role in maintaining high service standards, ensuring deliveries are tracked accurately, and addressing any delays or non-conformance issues promptly.
Key Responsibilities
- Monitor daily deliveries across the pallet network and haulage operations.
- Identify, investigate, and report any delivery delays, service failures, or non-conformance issues.
- Proactively chase hauliers for collection ETAs and delivery updates.
- Maintain regular communication with customers regarding delivery status.
- Escalate operational issues to management where necessary.
- Scan and process Proof of Delivery (POD) documentation.
- Print and prepare transport labels and relevant shipping paperwork.
- Ensure all systems are updated accurately and in real time.
- Maintain detailed and accurate records of communications and actions taken.
- Support the wider operations team with general administrative tasks as required.
Skills & Experience Required
- Previous experience in a transport, logistics, pallet network, or haulage environment (preferred).
- Strong organisational skills with the ability to prioritise workloads effectively.
- Excellent communication skills – both written and verbal.
- Confident liaising with hauliers, drivers, and customers.
- Good attention to detail and accuracy in data entry.
- Ability to work calmly under pressure and manage time effectively.
- Competent IT skills and experience using transport management systems (TMS) is advantageous.
