We are seeking a highly organised and proactive Business Administrator to play a central role in supporting the operational delivery of Counterweight’s weight management and type 2 diabetes remission and prevention programmes. This is a pivotal position within our Programme Support Team. You will ensure the smooth coordination of daily operations, act as a key point of contact for patients, practitioners, and healthcare partners, and help maintain the high standards of service delivery that underpin our clinical success. The ideal candidate is detail-oriented, solutions-focused, and confident managing multiple priorities in a fast-paced digital healthcare environment.

Key Responsibilities –
- Operational and Administrative Support
- Coordinate the day-to-day administrative delivery of weight management and diabetes remission and prevention programmes
- Support the Programme Support Team in maintaining efficient and high-quality service operations
- Manage patient referrals, onboarding, programme care, and discharges with accuracy, efficiency, and compassion
- Maintain up-to-date records across multiple digital platforms
Patient and Stakeholder Communication -
- Act as a first point of contact for patients, practitioners, and healthcare partners
- Manage incoming calls, emails, and messages, ensuring timely and professional responses
- Coordinate communication with our internal coaching team, primary care teams and external stakeholders
- Follow up on missed appointments and support re-engagement processes
Appointment and Order Management -
- Schedule, reschedule, and manage coaches and patient appointments
- Process customer orders and support customers in navigating ordering systems
- Ensure smooth coordination between coaching, clinical, and administrative teams
Research and General Business Support –
- Conduct ad hoc research (e.g., venues, medical centres, service providers)
- Support wider operational and project-based tasks as required
Person Specification Essential Skills and Experience -
- Proven experience in an administrative, business support, or healthcare coordination role
- Excellent organisational and time-management skills with the ability to prioritise effectively
- Strong digital capability, confident using multiple systems and troubleshooting basic app/platform queries
- Proficiency in Google Workspace, Microsoft Office, Excel and PowerPoint
- Outstanding written and verbal communication skills
- Professional, confident telephone manner
- Strong problem-solving ability and sound judgement
- High attention to detail and accuracy
- Ability to work from home
- Multilingual (English required, additional languages desirable)
