About the Role
InfoKernel Technology Services is looking for an organised and proactive Public Sector Project Officer to support the successful planning and delivery of public-service programmes, digital improvement initiatives and operational projects.
You will coordinate project activities, maintain accurate records, monitor progress and help ensure that agreed objectives are delivered within established timescales and budgets. Working with internal teams, public-sector partners, suppliers and community stakeholders, you will provide the structure and administrative support needed to keep projects moving forward.
This position is suitable for a mid-level project professional who is comfortable managing competing priorities, preparing reports and supporting projects within a structured and accountable environment.
Key ResponsibilitiesProject Coordination
Support the planning, organisation and delivery of public-sector projects from initial approval through to completion.
Maintain project plans, action logs, delivery schedules and milestone trackers.
Follow up with assigned team members to ensure that agreed actions are completed within the required timescales.
Progress Monitoring
Monitor project performance against agreed objectives, deadlines and budgets.
Identify delays, dependencies and emerging risks that could affect successful delivery.
Prepare regular progress updates for project managers, departmental leads and external partners.
Project Documentation
Create and maintain accurate project records, meeting minutes, decision logs and supporting documentation.
Ensure that project files are organised, current and available for internal reviews or audits.
Apply document-control procedures and maintain appropriate version history.
Stakeholder Coordination
Act as a point of contact for project teams, public-sector representatives, contractors and service providers.
Arrange project meetings, prepare agendas and distribute supporting materials.
Record key decisions and communicate agreed actions to relevant stakeholders.
Risk and Issue Management
Maintain risk, issue and dependency registers throughout the project lifecycle.
Escalate significant delivery concerns to the appropriate project manager or departmental lead.
Support the development and monitoring of practical mitigation actions.
Budget and Procurement Support
Assist with tracking project expenditure, purchase orders, supplier invoices and budget commitments.
Work with procurement and finance teams to ensure that purchasing activities follow established procedures.
Maintain clear records of supplier quotations, approvals and contractual documentation.
Reporting and Performance Information
Collect and organise project information for monthly, quarterly and end-of-project reports.
Prepare clear summaries, dashboards and presentation materials for internal and external audiences.
Check that reported information is accurate, complete and supported by appropriate evidence.
Governance and Compliance
Support project governance by ensuring that required approvals, reviews and reporting activities are completed.
Follow organisational policies relating to information governance, procurement, equality and public accountability.
Assist with audit requests and provide supporting project documentation when required.
Service Improvement
Work with operational teams to identify opportunities to improve public services, internal processes and project-delivery methods.
Document current processes and help teams develop practical improvement actions.
Support the implementation of new systems, procedures and service standards.
Meeting and Administrative Support
Coordinate meetings, workshops, consultation sessions and project-review activities.
Prepare agendas, take accurate minutes and distribute action points promptly.
Maintain shared calendars, contact lists and project communication records.
What We Are Looking For
At least three years of experience in project coordination, programme support, public administration or a related role.
Experience supporting projects with multiple stakeholders, deadlines and reporting requirements.
Good understanding of project-planning principles, risk management and progress monitoring.
Ability to maintain accurate project documentation, action logs and performance records.
Experience preparing reports, meeting papers, presentations and written updates.
Strong organisational skills and the ability to manage several workstreams simultaneously.
Good numerical ability when reviewing budgets, expenditure and performance information.
Confidence communicating with colleagues, suppliers, public bodies and external partners.
Ability to identify potential problems and escalate them appropriately.
Strong attention to detail and commitment to maintaining accurate information.
Ability to work independently while contributing effectively to a wider project team.
A practical and professional approach to changing priorities and delivery deadlines.
Desirable Experience
Experience working with local authorities, healthcare organisations, government departments, educational bodies or other public-sector organisations.
Knowledge of public-sector procurement, governance or funding requirements.
Experience supporting digital transformation, service improvement or community programmes.
Familiarity with project-management software and shared document-management systems.
Experience using spreadsheets to track budgets, risks, milestones and performance measures.
Awareness of information governance, data protection and public-record management.
A recognised qualification in project management, business administration or public services would be advantageous.
Education and Professional Background
A qualification in project management, business administration, public administration, management or a related discipline is preferred.
Candidates with relevant professional training and substantial practical project-support experience will also be considered.
Pay: £2,500.00-£2,900.00 per month
