People in Action are a charity working with people with mental health, learning disabilities and Autism challenges.
We are searching for a Procurement Coordinator on a fixed term contract based at our head office in Nuneaton.
Procurement Coordinator Fixed Term Role
Key Responsibilities
Procurement & Purchasing
- Manage day‑to‑day purchasing, including regular and ad‑hoc orders.
- Use approved suppliers wherever possible and support best‑value purchasing.
- Liaise with suppliers and account managers regarding pricing, orders, and queries.
- Cross checking stock against delivery notes.
- Taking responsibility to ensure all new stock is provided to the correct departments.
Supplier & Contract Management
- Oversee a central register of contracts including renewal dates and notice periods.
- Oversee contracts for utilities, cleaning, waste, pest control, printing, uniforms, equipment maintenance, and healthcare supplies.
- Act as first point of contact for supplier issues, missed services, or escalations.
- Support contract renewals, variations, and terminations.
Finance & Systems (Sage)
- Create purchase orders and process invoices.
- Ensure timely invoice processing in line with month‑end deadlines.
- Support monthly payment runs and maintain accurate procurement records.
- Track open purchase orders and outstanding invoices.
Utilities & Facilities Support
- Oversee gas, water, and electricity supplier arrangements and billing queries.
- Coordinate site services including waste collections, cleaning schedules, pest control, and printer servicing.
- Maintain service logs, site access details, and emergency contacts.
Record Keeping & Compliance
- Maintain accurate supplier, contract, and service documentation.
- Support audits, inspections, and operational handovers as required.
Skills & Experience
Essential
- Experience in procurement, purchasing, or supplier management
- Familiarity with finance systems (Sage desirable)
- Strong organisational and administrative skills
- Excellent communication and stakeholder management skills
- Ability to manage multiple priorities and deadlines
Desirable
- Experience in a multi‑site or facilities‑based environment
- Understanding of service contracts and renewals
- Experience supporting month‑end finance processes

You will be expected to work 3 days per week and be available to cover core business hours between 9am and 5pm.
Pay: £13.50 per hour
