About the Role
We are looking for an exceptional Executive Assistant to work directly with the CEO of a fast-growing, multi-entity business group spanning hospitality, food & beverage, fulfilment, and investment activity. This is not a traditional EA role. The environment is high-paced, demanding, and constantly evolving - the CEO travels frequently, operates across multiple businesses and live projects simultaneously, and moves quickly between commercial negotiations, operations, and strategic work.
The person will keep the diary watertight, the travel seamless, the projects moving, and the wider team accountable to deadlines. You'll need to anticipate rather than react, operate with total discretion, and thrive when priorities shift at short notice.
Key Responsibilities
Diary & Time Management
- Own and ruthlessly protect the CEO's calendar across multiple businesses, ensuring time is allocated to the highest-priority work
- Manage a constantly shifting schedule, resolving conflicts proactively and rescheduling at pace without dropping anything
- Prepare the CEO for every meeting: agendas, briefing notes, background on attendees, and relevant documents in advance
- Run a forward-look process (daily/weekly) so the CEO always knows what's coming and what's needed from him
Meeting Coordination & Accountability
- Coordinate meetings across the core leadership team and external stakeholders - scheduling, logistics, materials, and follow-up
- Capture actions and decisions from key meetings, circulate them promptly, and chase owners to completion
- Hold team members accountable to schedules, deadlines, and commitments on the CEO's behalf - politely but persistently
- Track open items across multiple projects and ensure nothing slips between the cracks
Project & Business Support
- Manage and book travel arrangements
- Prepare, format, and proofread documents, presentations, and correspondence to a high standard
- Manage inbound communications, triaging email and messages, drafting responses, and ensuring nothing urgent is missed
- Liaise confidently with senior external parties - investors, advisers, lawyers, banks, and business partners
Office & Ad Hoc
- Handle confidential information (financial, legal, personal) with absolute discretion
- Support occasional personal administration for the CEO where it protects his time
- Take on ad hoc projects and problem-solve independently - the remit is broad and no two weeks look the same
What We're Looking ForEssential Experience
- 5+ years as an EA supporting a CEO, founder, or C-suite executive, ideally in a fast-paced, entrepreneurial, or multi-entity environment
- Proven experience supporting an executive who travels extensively - you know how to run a diary and travel programme around someone who is frequently out of the country and often changes plans
- Experience supporting a leader working across multiple projects or businesses simultaneously, juggling competing priorities without losing the thread
- Track record of coordinating senior teams: chasing actions, managing deadlines, and holding people to account
Skills & Attributes
- Exceptional organisation and prioritisation - you bring order to chaos and keep it there
- Fast, calm, and unflappable under pressure; comfortable with ambiguity and last-minute change
- Proactive to the point of anticipation - you fix problems before the CEO knows they exist
- Direct, confident communicator who can push back, chase senior people, and represent the CEO professionally
- Absolute discretion and sound judgement with sensitive commercial and personal information
- Strong written English with a sharp eye for detail
- Tech-fluent: Google Workspace and/or Microsoft Office, calendar and travel tools, and comfortable picking up new systems (e.g. CRM, project trackers) quickly
- High energy, thick skin, and a genuine appetite for an intense, all-in working environment
The Non-Negotiables
- Based in London and able to work 5 days per week in the office
- Flexibility to be responsive outside standard hours when the CEO is travelling or deals are live
- Right to work in the UK
