The role:
As a Supply Chain Coordinator, you will ensure that pharmaceutical products are available on time, and in the required condition along with the appropriate quality and regulatory documentation. You will support the efficient and compliant management of the pharmaceutical supply chain and quality assurance activities whilst ensuring adherence to GMP, GDP, company SOPs and Quality Management System (QMS) requirements.
In this role, you will maintain accurate documentation and product traceability, whilst coordinating with suppliers and internal departments, and assisting the Quality team with audit readiness and continuous improvement.
KEY RESPONSIBILITIES
- Confirm that Goods Received Notes correspond with their invoice and check that the stock is received from an approved supplier.
- Check the incoming product against reference samples for licence compliance and authenticity and notify if the product is not complying with the licence requirement.
- Create the Batch priority list based on commercial request forecast from CMOs.
- Coordinate deliveries and shipment schedules to ensure timely product availability.
- Liaise with suppliers, customers, warehouse teams, logistics providers and internal departments to maintain an efficient supply chain.
- Monitor inventory levels, batch numbers, expiry dates and stock movements to maintain accurate stock records and product traceability
- Coordinate with warehouse and logistics teams to ensure pharmaceutical products are stored and distributed in accordance with GDP and company SOP and Track deliveries, investigate delays and escalate supply issues where necessary
- Support stock reconciliation, investigate discrepancies and minimise stock-outs and expired inventory.
- Coordinate the receipt, distribution and disposal of pharmaceutical samples in accordance with approved SOPs and quality requirements.
- Maintain accurate sample registers, sample inventories, batch details, expiry dates and associated documentation.
- Coordinate sample requests and distribution to laboratories as applicable.
- Assist with deviations, CAPA, change controls, complaints and quality investigations.
- Support root-cause analysis and follow-up of corrective and preventive actions.
- Review quality documentation for completeness, accuracy and compliance with approved procedures.
- Maintain controlled documents, SOPs, forms, records and quality trackers.
- Support internal audits, supplier audits, self-inspections and regulatory inspection readiness.
- Monitor temperature records and support investigation of temperature excursions.
KEY PERFORMANCE INDICATORS AND CONTINUOUS IMPROVEMENT
- Prepare KPI reports covering sample management, inventory, order fulfilment, supplier performance, delivery performance and quality activities.
- Monitor key performance indicators and identify recurring supply chain or quality issues.
- Support process improvements to improve sample traceability, inventory accuracy, compliance and operational efficiency.
- Work cross-functionally with QA, Supply Chain, Regulatory Affairs and Logistics teams.

- Education from Life Science, Business Administration, Supply Chain, Logistics
- Microsoft Office, Excel — spreadsheets, formulas, sorting/filtering, vlookup, reporting
