What role are we recruiting for?
Based within The Circle Glasgow you will work with the Hub Manager to support the daily operations of The Circle. This is a multi-faceted role that will include Front of House and Facilities duties. You may have shifts working our busy reception or doing basic maintenance and cleaning throughout our property or properties. The duties listed below are an indicative but not exhaustive list of responsibilities.
What you will be doing.
Front of House
- Greet and welcome guests as soon as they arrive at The Circle
- Direct visitors to the appropriate person and office
- Answer, screen and forward incoming phone calls
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
- Provide basic and accurate information in-person and via phone/email
- Receive, sort and distribute daily mail/deliveries
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
- Order front office supplies and keep inventory of stock
- Update calendars and schedule meetings
Facilities
- Making sure that the premises are clean, tidy and safe to use.
- Liaising with people who use the building.
- Storing equipment and supplies safely.
- Ensuring disabled access to the building where necessary.
- Ensuring wash areas and toilet areas are regularly replenished and kept clean and tidy
- Ensure all communal areas clean, tidy and replenished after each break time.
- Maintaining adequate stock levels of cleaning products.
- Cleaning The Circle’s office including desks, printers, phones and keyboards.
The knowledge and experience you will need.
· You will need to be a “people person” in this role. There will be a lot of interaction with the general public so confident customer service is essential.
· You’ll need a working knowledge of Microsoft software (Teams, OneDrive, Office, etc).
· You will need to be confident in adhering to and, at times, enforcing regulations around Fire, Health, and safety procedures.
Working at The Circle.
· 5.6 weeks statutory holiday, inclusive of public holidays (pro-rata).
· Two weeks annual leave over Christmas and New Year, as part of your holiday allocation.
· Option to join a company pension scheme.
