We are looking for a highly organised, proactive, and personable Office Administrator to become a key member of our team. This is a varied role that requires excellent organisational skills, attention to detail, and the ability to manage multiple priorities in a fast paced environment.
The Role
As Office Administrator, you will be responsible for ensuring the smooth day to day running of the office while providing administrative support across the business. You will work closely with the CEO, Estimating and Commercial teams, helping to maintain efficient operations and strong client relationships.
- Manage the day to day administration of the office.
- Provide administrative support to the CEO, including booking flights, travel arrangements, accommodation, and diary coordination.
- Welcome and assist visitors, clients, and suppliers, ensuring a professional and friendly experience.
- Order office stationery and supplies, ensuring stock levels are maintained.
- Support the Estimating and Commercial teams with administrative tasks and document management.
- Download, organise, and monitor tender documentation from client portals.
- Maintain tender trackers and ensure submission deadlines are met.
- Follow up with clients after tender submissions to obtain feedback and maintain positive relationships.
- Arrange internal and external meetings, preparing agendas and coordinating attendees where required.
- Assist with business development by following up new project enquiries and helping to nurture prospective client relationships.
- Use modern digital tools, including AI-powered software where appropriate, to improve efficiency, automate routine administrative tasks, and support the wider business.
- Keep accurate records, update databases, and maintain filing systems.
- Handle incoming calls, emails, and correspondence professionally.
- Support the wider team with general administrative duties as required.
The ideal candidate will have:
- Previous experience in an office administration or business support role.
- Excellent organisational and time management skills.
- Strong communication and interpersonal skills.
- A professional and confident telephone manner.
- High attention to detail and accuracy.
- The ability to prioritise workloads and meet deadlines.
- Good working knowledge of Microsoft Office, including Outlook, Word, Excel, and Teams.
- An interest in technology and digital tools, with experience using AI applications such as Microsoft Copilot, ChatGPT, or similar—or a genuine willingness to learn and embrace AI to improve productivity.
- The ability to work independently while also being an effective team member.
- Experience within the construction industry would be advantageous but is not essential.
