The Assets Coordinator is responsible for maintaining the accuracy, consistency, and tracking of the company’s inventory database. This role bridges the gap between physical logistics and digital tracking, ensuring that assets - from inbound freight to live global deployments - are systematically authenticated, barcoded, and correctly mapped in our core systems.
Key Responsibilities & Deliverables
1. System Authentication & Database Integrity
- Execute digital authentication for newly acquired, transferred, or returned inventory items in a timely manner.
- Maintain accurate database standards by ensuring assets are registered with their unique, verified manufacturer serial numbers.
- Conduct regular data-validation reviews to minimize duplicates, mismatched asset categories, or incomplete system entries.
- Ensure standard product photography and technical specification tagging are completed upon initial system entry.
- Physically assist warehouse and logistics departments on the floor with active barcoding, labeling, and equipment scanning initiatives where required to keep database records accurate and up to date.
2. Freight Tracking & Processing
- Coordinate the tracking pipeline for domestic and international freights (including international store movements).
- Follow established Store Transfer protocols to ensure inventory movements between facilities are clearly documented.
- Proactively manage and process inventory backlogs to ensure unauthenticated or unmapped stock levels are kept to a minimum.
- Utilise built-in system features - such as Quarantines - to separate unverified or damaged equipment from active deployment channels until resolved.
3. Departmental Support & Cross-Cover
- Provide direct assistance to the Dry Hire and Sub Hires Manager to streamline inbound and outbound rental workflows.
- Offer proactive cross-cover support within the Assets department during peak periods, staff absences, or high-volume project windows.
- Assist in tracking, logging, and processing external sub-hire returns to ensure sub-rented assets are returned to suppliers on schedule.
4. Cross-Departmental Collaboration & Communication
- Maintain professional, collaborative, and solution-focused communication across corporate channels (including email, project management software, and group communication networks).
- Provide regular tracking updates and status reports on outstanding administrative and barcoding projects to management.
- Work constructively with warehouse teams, freight forwarders, and technical deployment staff to resolve system discrepancies smoothly.
Required Experience & Qualifications
- System Experience: Proven experience operating inventory management or ERP/RMS software (experience with systems like Current RMS is highly advantageous).
- Data Accuracy: A strong eye for detail with experience managing high-volume data entry where consistency is key.
- Logistics Knowledge: A solid understanding of warehouse processes, barcode systems, and general equipment handling.
- Communication & Teamwork: Ability to stay organized in a fast-paced environment, switch tasks fluidly to support colleagues, and maintain a collaborative approach across teams.

Pay: £35,000.00-£40,000.00 per year
