About the Role
As the welcoming face of Stapletons Solicitors, you'll help ensure every client enjoys a professional, friendly, and reassuring experience from their very first interaction with us. Alongside front-of-house responsibilities, you'll become an integral part of our legal support team, assisting with client onboarding, compliance procedures, legal documentation, and day-to-day office operations.
What You'll Be Doing
- Welcoming clients and visitors with a warm, professional, and friendly approach.
- Managing our busy switchboard, directing calls efficiently, and responding to enquiries.
- Creating an exceptional first impression and delivering outstanding client service at every stage of the client journey.
- Building positive relationships with clients from their first enquiry, acting as a trusted and approachable point of contact throughout the onboarding process.
- Guiding clients through our onboarding procedures, explaining documentation requirements, assisting with forms, and ensuring the process is smooth, straightforward, and stress-free.
- Liaising with clients by telephone, email, and in person, answering questions, providing guidance, and helping clients feel informed, reassured, and confident throughout the early stages of their matter.
- Supporting our Anti-Money Laundering (AML) and client due diligence procedures by requesting and verifying identification documents, carrying out compliance checks, and ensuring all regulatory requirements are completed accurately.
- Preparing and drafting legal documents under the supervision of our legal team, including first drafts of contracts, letters, forms, and other legal documentation.
- Opening new client files, maintaining accurate electronic records, and ensuring documentation is organised within our case management systems.
- Processing client payments accurately and efficiently.
- Handling incoming and outgoing post, DX, scanning, photocopying, and document preparation.
- Keeping reception and client areas welcoming, organised, and professional at all times.
- Managing office stationery and supplies.
- Providing administrative support to solicitors and legal professionals across the firm, helping matters progress efficiently.
- Maintaining the highest standards of confidentiality, professionalism, and data security.
- Working collaboratively with colleagues and providing support across the office whenever required.
Pay: From £25,000.00 per year
