Part-time Transport and Office Administrator
A flexible home-based role coordinating the daily operation of the CCP Community Transport scheme, supporting volunteer drivers and service users, and helping with general office administration for CCP’s Project Lead.
Job purpose
- Oversee the daily operations of the CCP Community Transport scheme, ensuring safe and efficient transport for users such as elderly and vulnerable residents, using the Road XS cloud-based platform for bookings and driver allocation.
- Provide essential administrative and clerical support to CCP’s Project Lead as and when required.
Key responsibilities
- Log and process transport requests, match journeys with nearby available drivers, and monitor the daily departure board and live journey tracking.
- Recruit and support volunteer drivers across CCP’s area of operation, keeping accurate records for MOT, insurance, DBS checks and safeguarding training.
- Generate reports on mileage, journey statistics and scheme impact for trustees and funders.
- Work with the treasurer on driver expenses and client donations, while ensuring data handling follows GDPR and safeguarding policies.
- Act as the main contact for users, drivers and external partners including GP surgeries, keeping people updated about schedule changes or road delays.
- Support the Project Lead with correspondence, records and data management, meetings and document preparation.
Skills and experience
- Comfortable managing cloud-based software. Experience with Road XS or another volunteer driver booking system would be helpful.
- Strong organisational and time-management skills, with the ability to manage complex schedules and multiple priorities.
- Excellent written and verbal communication skills, and confidence dealing with volunteers, partners and vulnerable service users.
- High attention to detail for records, financial data, data entry and document preparation.
- Ability to work very flexible hours and respond quickly, sometimes at short notice.
- Previous experience as a coordinator, administrator or in a similar clerical role.
- Strong knowledge of Microsoft Office, including Word, Excel and Outlook.
- Ability to maintain confidentiality and handle sensitive information with discretion.

- Well organised, discreet and able to keep confidences.
- Knowledge and understanding of people living in rural and deep rural areas, and their needs.
- Support for the ethos and vision of CCP, with excellent references.
