As one of the largest student property accommodation providers in Leicester, there is always plenty happening behind the scenes. Effective maintenance coordination is essential to keeping our tenants informed, supporting our landlords and protecting the quality of the homes we manage.
We are looking for a Part-Time Property Maintenance Coordinator to manage repair requests from initial report through to completion.
This is first and foremost an administration and coordination role. Most of your time will be spent assessing requests, gathering information, arranging contractors, communicating with tenants and making sure outstanding work is followed through.
However, you will also make occasional visits to our Leicester properties and complete a defined range of simple maintenance tasks where this is safe, appropriate and more efficient than appointing a contractor.
You do not need to be a qualified tradesperson. You do need to be practically confident, willing to help and sensible enough to recognise when a job must be referred to a specialist.
What you’ll take ownership of:
You will be the first point of contact for many maintenance requests, managing each case from the moment it arrives until there is a safe and properly documented resolution.
Your responsibilities will include:
- Monitoring the maintenance inbox during your working hours and acknowledging new reports promptly
- Identifying emergencies and escalating urgent or safety-critical problems immediately
- Gathering photographs, access arrangements and any other information needed to assess a request
- Assessing the nature and urgency of each reported issue
- Recording a clear next action, owner and follow-up date for every live case
- Allocating work to the most appropriate approved contractor
- Providing contractors with clear instructions and relevant property information
- Checking that contractors accept work and can attend within the required timeframe
- Obtaining landlord approval where this is required
- Keeping tenants informed with clear, helpful and realistic updates
- Proactively chasing outstanding jobs before they become avoidable delays
- Escalating cases where access, approval or contractor availability is preventing progress
- Maintaining accurate records and closing completed jobs with the appropriate evidence
- Providing a clear handover for anything requiring attention after your shift
- Identifying recurring faults and helping us improve how maintenance is managed
- Organising basic maintenance supplies, keys and equipment
This is a role for someone who enjoys following tasks through to completion - not simply forwarding an email and hoping somebody else deals with it.
The practical side of the role:
Where it is safe and appropriate, you will visit local properties to assess reported problems, gather better information or complete approved minor tasks.
Depending on your training and competency, these may include:
- Replacing accessible light bulbs or batteries
- Tightening straightforward handles, hinges or fittings
- Completing basic visual inspections and taking photographs
- Undertaking simple user-level checks or resets under an approved procedure
- Restoring boiler pressure where appropriate, following training and the relevant instructions
- Delivering or replacing small household items and maintenance supplies
You will not be expected or permitted to undertake specialist gas, electrical, plumbing or other regulated trade work. Anything outside the approved minor works list - or beyond your training and competence - will be referred to an appropriate contractor.
Good judgement about what not to attempt is just as important as practical confidence.
What success will look like:
You will build a reputation as the person who keeps maintenance organised, moving and under control.
That means:
- Emergencies are recognised and escalated correctly
- Every maintenance case has a clear next action and follow-up date
- No repair is allowed to drift without a documented chase or escalation
- Tenants receive helpful updates and do not need to repeatedly ask what is happening
- Contractors receive the information they need to complete work efficiently
- Landlords are involved promptly where their approval is required
- Maintenance records are accurate, current and properly closed
- Approved minor tasks are completed safely and documented clearly
- Specialist work is consistently referred to the correct contractor

Property or maintenance-coordination experience would be useful, but it is not essential.
You may have gained relevant experience in property, housing, facilities, repairs coordination, scheduling, customer service, hospitality, healthcare administration or another role involving responsibility for numerous live cases.
What matters most is your organisation, judgement, communication and determination to ensure that every issue reaches a proper conclusion.
Essential requirements
You must:
- Be able to work Monday to Friday on a consistent basis
- Be comfortable working from our Leicester office
- Be willing and able to travel efficiently between our properties across Leicester during your working hours
- Be comfortable with occassional visits to other cities
- Have a driving licence
- Be willing to undertake property visits and approved minor maintenance tasks
- Have strong written and verbal communication skills
- Be organised, accurate and comfortable managing competing priorities
- Be able to work independently while following defined procedures and safety boundaries
