As our Lettings Coordinator, you'll be the driving force behind the administrative processes that keep our lettings department running smoothly, ensuring every landlord and tenant receives a seamless, professional experience from their first enquiry through to moving day and beyond.
This is a pivotal role within our growing lettings team. You'll work closely with our negotiators and property managers, coordinating the many moving parts of the lettings process, maintaining compliance, and ensuring every tenancy is handled efficiently, accurately and in line with current legislation.

Key Responsibilities
As Lettings Coordinator, you will:
- Be the first point of contact for telephone and email enquiries from landlords, tenants and prospective tenants, providing a professional and friendly service.
- Coordinate property viewings, liaising with applicants, landlords and colleagues to ensure appointments run smoothly.
- Manage office and property keys, maintaining accurate records and authorising access where appropriate.
- Complete tenancy referencing, Right to Rent checks and all associated compliance procedures in accordance with legislation and company standards.
- Prepare tenancy agreements and supporting documentation, ensuring all paperwork is accurate, compliant and issued within agreed timescales.
- Coordinate tenancy start dates, check-ins, inventories and move-in arrangements.
- Process utility and Council Tax notifications promptly and accurately.
- Maintain accurate records across internal systems, ensuring all information is up to date and compliant.
- Support the wider lettings team with administrative tasks throughout the tenancy lifecycle.
- Assist in maintaining high standards of compliance, customer service and operational efficiency across the department.
- Adhere to all company policies, procedures and regulatory requirements.
- Continually develop your knowledge of the property industry and work towards achieving Propertymark qualifications where required.
About You

You'll ideally have:
- Previous experience in an administrative, customer service, property or lettings role.
- Excellent attention to detail and the ability to manage multiple tasks simultaneously.
- Strong organisational and time management skills.
- Confident written and verbal communication skills.
- A professional, approachable manner when dealing with customers and colleagues.
- The ability to prioritise effectively and remain calm under pressure.
- Good working knowledge of Microsoft Outlook, Word and Excel.
- A proactive approach, with the confidence to solve problems and take ownership of your workload.
