AIM Building & Maintenance Services Ltd is a fast-growing, Scotland-wide multi-trade contractor delivering insurance reinstatement, fit-out, maintenance and construction services across a wide range of sectors.
We are continuing to grow and strengthen the business and are looking for an organised, driven and proactive Compliance & Business Support Administrator to join our team at our Head Office in Stepps.
This isn't a role where you'll simply be given a pile of admin and asked to work through it.
You'll work across different areas of the business, supporting our compliance, operational and commercial teams while also helping us promote AIM, our projects and our continued growth.

The Role
You'll take responsibility for keeping key areas of our compliance and business administration organised, current and moving forward.
A big part of the role is making sure deadlines don't get missed, documentation is where it should be and outstanding information is actively chased rather than simply added to a list.
You'll work closely with managers and teams throughout AIM, so we're looking for someone who is confident picking up the phone, asking for what they need and taking ownership of tasks through to completion.
Your responsibilities will include:
- Managing and coordinating company accreditation renewals, including Constructionline, SMAS and other industry accreditations and memberships.
- Maintaining a clear calendar and tracker of accreditation renewals, audits, submissions and compliance deadlines.
- Gathering, reviewing and uploading policies, certificates and supporting evidence for accreditations, audits, tenders and PQQ submissions.
- Monitoring operative qualifications, training records, competency certificates and expiry dates.
- Proactively contacting employees, managers and subcontractors where documentation or updated information is required.
- Creating and maintaining electronic and physical project/site files.
- Supporting the preparation and administration of RAMS, Construction Phase Plans and other project documentation.
- Assisting our commercial and management teams with reports, document preparation, tender information, PQQs and general business submissions.
- Maintaining company policies, templates, records and compliance trackers and making sure current versions are being used.
- Helping coordinate information required for audits and external assessments.
- Supporting the company's LinkedIn and digital presence, including project updates, recruitment campaigns, company news and business achievements.
- Gathering photographs and project information from our operational teams to produce case studies and project updates.
- Helping ensure AIM's online presence properly reflects the size, capability and work being delivered by the business.
- Providing wider business and administrative support where required.
Who We're Looking For
We aren't necessarily looking for someone who ticks every box below.
We're looking for someone who is switched on, organised and takes pride in getting things done properly.
You'll ideally have:
- Excellent organisational skills and strong attention to detail.
- The ability to manage multiple deadlines and priorities without losing track of actions.
- A proactive approach – if something is outstanding, you'll chase it and see it through.
- Strong written and verbal communication skills.
- Confidence communicating with people at all levels of the business.
- Good working knowledge of Microsoft Word, Excel, Outlook and general office systems.
- The ability to work independently while also being part of a busy team.
- Confidence working with documents, trackers, spreadsheets and online portals.
- Experience using LinkedIn, social media or producing straightforward digital content would be beneficial.
- Previous experience with Constructionline, SMAS, PQQs, construction compliance or accreditation platforms would be a major advantage.
- Experience within construction, maintenance, property or a similar environment would be beneficial, although it isn't essential for the right person.
The Person
This role will suit someone who likes being involved.
You might currently be working in administration, compliance, construction support, document control or a similar position and feel ready for a role where you can take on more responsibility and have greater involvement in the business.
We want someone who notices when something needs done and gets on with it.
Someone who can keep things organised, communicate confidently and isn't afraid to chase an outstanding certificate, speak to a manager, help pull together a tender submission and then get involved in promoting a completed project.
