We are currently seeking a focused and articulate Procurement Assistant, with great attention to detail, who is enthusiastic and highly motivated to join our Finance Team.
The on target earning potential for this role is £31,000 / per annum - comprising a base salary of £26,000, plus a qualified estimate of £5,000 in gratuities and service charge.* As a member of the Gleneagles team, you will also enjoy a fantastic range of perks, benefits and rewards

- Maintaining, overseeing, and promoting adherence to Gleneagles' Purchasing Terms Conditions across our business
- Procuring products and services, ensuring purchasing decisions are guided by safety, quality, delivery performance, and value for money
- Creating, maintaining, and updating supplier records within the ERP system, ensuring data accuracy and compliance
- Developing and managing supplier tracking processes, including monitoring codes of conduct, credit checks, and supplier acceptance of terms and conditions
- Maintaining supplier contract registers and providing timely notifications to Senior Category Buyers regarding renewals, expiries, and key contract milestones
- Monitoring and overseeing inventory levels across General Stores and Food Stores through the I-Curate platform, supporting effective stock control and product availability
- Managing supplier rebate (retro) agreements, including calculating, reconciling, and processing payments and recoveries in a timely manner
- Ensuring procurement activities remain compliant with company policies and procedures, including supplier due diligence and fraud prevention measures
- Reconciling company credit card purchases and allocating expenditure accurately to the appropriate departments and cost centres
- Matching goods received against purchase orders to facilitate accurate invoice processing and timely payment to suppliers
- Supporting the administration of sundry and one-off supplier payments, ensuring appropriate authorisation and documentation
- Obtaining quotations, negotiating with suppliers, raising purchase orders, and issuing them to vendors in a timely and accurate manner
- Building and maintaining positive supplier relationships while providing professional support to internal stakeholders and external partners
- Assisting with procurement reporting, data analysis, and continuous improvement initiatives to enhance purchasing processes and drive operational efficiencies
- Interacting with our guests, always warm, professional, helpful and doing everything you can to exceed their expectations; playing your part in making their stay with us 5 star in every way
- You have previous experience in purchasing or a buying environment, with knowledge of procurement systems (ERP/P2P), inventory and stock management, purchasing processes from requisition to invoice
- With strong Excel skills, you ideally have a background in financial accounting with exposure to negotiation and contracts; you also have exceptional attention to detail and take huge pride in producing accurate, high-quality work

- Knowledge of Incoterms would be advantageous, although a willingness to learn and develop in this area is equally important
- Strong analytical skills enable you to interpret data and present meaningful insights that support effective decision-making
