Job Purpose
The HR Coordinator plays a key role in supporting the smooth and effective running of the GP practice by providing high-quality HR administration and coordination. The post-holder will ensure all HR-related administrative duties are carried out in line with agreed practice procedures, protocols, and timescales, working closely with the management team and external advisors as required.
Key Responsibilities
The post-holder will work collaboratively with the Practice Manager, management team, and wider staff group to support a positive, compliant, and well-organised working environment.
HR Responsibilities
· Support recruitment and selection activities, including liaising with recruitment agencies, posting job adverts, arranging interviews, and completing post-interview paperwork.
· Coordinate the probation process, ensuring managers diarise and complete probation review meetings and submit the appropriate documentation for personnel files.
· Coordinate and maintain training and development records for all staff.
· Manage the leaver process, including acknowledging resignations, calculating outstanding annual leave, and maintaining exit interview records.
· Administer and update HR documentation in line with company policy and guidance from external HR advisors.
· Monitor holiday and sickness/absence records and report to line managers when trigger points are reached.
· Conduct DBS checks where required and ensure all right-to-work documentation is up to date and accurately recorded.
· Monitor and maintain the Practice Bonus Scheme in line with agreed objectives and provide reports to the management team.
· Liaise with external HR partners regarding the development and implementation of HR policies and procedures.
Business and Practice Support Responsibilities
· Ensure all staff timesheets are collected, accurately collated, and submitted for payroll, proactively reminding managers of deadlines.
· Attend and support meetings as required, including preparing agendas, taking accurate minutes, and ensuring timely distribution to attendees.
· Promote equality, diversity, and inclusion as an integral part of the practice culture.
· Contribute to weekly staff communications, ensuring birthdays, length of service milestones, training updates, Social Media updates and bonus information are shared with teams.
· Complete the NHS Workforce Census on a monthly basis.
Confidentiality
In the course of their duties within a GP practice setting, the post-holder may have access to confidential information relating to patients, carers, practice staff, other healthcare professionals, and the practice as a business organisation. All such information must be regarded as strictly confidential.
· Confidential information may only be disclosed to authorised individuals in accordance with practice policies, procedures, and relevant data protection legislation.
· The post-holder is expected to uphold the highest standards of confidentiality at all times.
Health & Safety
The post-holder will assist in promoting and maintaining their own and others’ health, safety, and security in line with the practice’s Health & Safety Policy, Health
& Safety Manual, Infection Control Policy, and published procedures, recognising the importance of a safe environment for patients, staff, and visitors. This includes:
· Using personal security systems in accordance with practice guidelines.
· Identifying risks within work activities and managing those risks appropriately.
· Making effective use of training to update knowledge and skills.
· Applying appropriate infection control procedures and maintaining tidy, safe work areas.
· Reporting health, safety, and infection hazards promptly.
· Assisting in maintaining general standards of cleanliness within work and patient areas.
· Undertaking mandatory infection control training (minimum annually).
· Reporting potential risks as identified.
· Demonstrating due regard for safeguarding and promoting the welfare of children.
