Overview
We are seeking a dynamic and detail-oriented Construction Administrator & Client Liaison to join our team. This pivotal role combines administrative excellence with proactive client engagement, ensuring smooth project workflows and exceptional communication throughout the construction process across our live sites in Surrey and the West Midlands. The ideal candidate will thrive in a fast-paced environment, demonstrating strong organisational skills, genuine construction industry knowledge, and the ability to build positive relationships with clients and project teams alike.
We don't currently run Buildertrend ourselves - this hire is who brings that expertise in and gets it properly embedded across all our live sites, worth up to £2m+ each.
Duties
- Manage all administrative tasks related to construction projects, including documentation, scheduling, and record-keeping to ensure seamless operations across multiple live sites
- Serve as the primary point of contact for private clients, providing timely updates, addressing inquiries, and maintaining transparent communication throughout each project phase
- Coordinate with internal teams, subcontractors, suppliers, and stakeholders to facilitate project timelines and resolve issues promptly
- Own our Buildertrend setup and day-to-day administration - client portals, scheduling, document uploads, and purchase order tracking
- Support construction site administration - RAMS, subcontractor onboarding paperwork, insurance and compliance documents, CSCS card tracking
- Assist in preparing proposals, change orders, and reports that clearly outline project scope, costs, and timelines
- Support compliance with safety standards, building codes, and client specifications across all site activities
- Assist with planning administration - tracking condition discharge submissions, chasing consultants and architects, keeping deadlines on track
- Manage our social media presence and keep the website current
Requirements
- Essential: hands-on experience using Buildertrend (or a comparable construction management platform such as CoConstruct) in a previous role
- Essential: proven experience in construction administration or client liaison roles within the construction or residential development industry - you understand site paperwork, subcontractor processes, and construction terminology without needing it explained
- Strong communication skills with the ability to clearly articulate project information to clients and teams alike
- Exceptional organisational skills with keen attention to detail and multitasking capabilities across several live projects at once
- Confident, professional client-facing manner, comfortable dealing with private clients on high-value builds
- Full UK driving licence preferred
- Based in or able to commute to Claygate, Surrey, full time

- Base salary £32,000–£36,000 depending on experience, plus a performance bonus of up to £3,000/year tied to clear milestones (e.g. Buildertrend fully embedded across all sites, successful probation)
