Working as part of a team the post-holder will assist patients in obtaining their medications in a timely and safe manner, also ensuring that patients are directed to appropriate services relating to their healthcare in a courteous, efficient and effective way.
Managing the expectations of patients, their carers or guardians in to provide a high standard of patient focused service. The post-holder will pro-actively communicate relevant information between patients and their healthcare professional.
The Prescription Clerk will develop good working relationships with:
· Patients
· GP, nurses and other surgery staff
· External Organisations e.g. Community Pharmacy
You will be the first point of contact for the processing of all relevant prescriptions as authorised by GPs, prescribing nurses and outside agencies where appropriate in accordance with the principles of good practice.
To ensure that the patient is receiving high quality care in relation to their medications and the monitoring of long term conditions and high-risk medication.
As part of the wider work of the support team at the surgery, you may be required to support the reception / administration team from time to time. This may include reception duties.
The following are the core responsibilities of the Prescription Administrator. There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels.
Responsibilities include:
- To coordinate and process patient medication requests as per practice protocols
- Manage repeat prescribing requests via telephone, online or in person
- Work to provide a responsive repeat prescribing service
- To deliver an efficient repeat prescription service ensuring service targets are met and errors minimised
- Ensure responses to medication related queries are actioned promptly and within target turnarounds and / or where appropriate forwarded to appropriate clinician or pharmacist
- Answer queries from patients, carers, staff members, pharmacies, care homes or other agencies or seek guidance as appropriate
- Expedite urgent prescription requests to help ensure a safe and responsive service for our patients
- Deal with patients at the front desk answering queries and handing out prepared medication. Completing exemption checks and taking payments as required
- Monitor medication reviews ensuring patients have attended relevant reviews prior to reauthorisation dates
- Be aware of monitoring requirements for selected high risk drugs and ensure patient booked for relevant checks prior to renewal
- Ensure patients’ review invitations are made in a timely manner in conjunction with medication reviews and re-authorisation
- Flag patients to relevant doctor who are non-compliant with monitoring checks.
- Adhere to current practice Standard Operating Procedures and Protocols regarding the processing of prescriptions and medication reviews.
- Deal with customer queries promptly – face to face, telephone or online
- Deal with queries from other professionals/organisations
Personal Profile and Key Skills
The following are the skills we feel are important to undertake the role:
· Experience of working in general practice and an understanding of administration activities would be beneficial – in particular processing prescriptions
· Experience of working in a customer facing environment and have a patient focused approach
· Good communication skills, able to communicate effectively for different needs. Apply tact and sensitivity to establish trust and confidence
· Excellent IT skills in outlook, word and excel. You will use your skills for letter writing, managing the email inbox and completing spreadsheets to monitor activities
· Able to work accurately and systematically, ensuring high-quality output
· A collaborative mindset and the ability to work well within a team and contribute positively to group goals are key to success in this role
· Flexibility to support team members when necessary to provide holiday and sickness cover whenever possible. This includes cover within the reception / administration team.
