We are looking for a warm, confident, and highly organised PA/Receptionist/Social Media Coordinator to become an important part of our friendly and growing team at The India Gabrielle Clinic. This is a varied and rewarding front-of-house role, perfect for someone who genuinely enjoys working with people, takes pride in delivering exceptional customer experiences, and has an interest in the aesthetics, beauty, or wellness industry. You’ll be the first point of contact for our clients, helping create a welcoming, luxury clinic experience whilst also supporting the day-to-day running of the clinic and assisting with social media content and client engagement. Key Responsibilities
- Welcoming clients and creating a warm, professional clinic experience
- Building strong client relationships and delivering outstanding customer care
- Managing appointment bookings and the clinic diary to maximise bookings and optimise appointment availability
- Responding to telephone, email, and social media enquiries
- Processing payments using EPOS Now and Stripe
- Assisting with clinic social media content, engagement, and online presence
- Maintaining accurate records and transaction logs
- Monitoring and ordering clinic stock and supplies
- Packing and dispatching online product orders
- Sending post-treatment follow-ups and review requests
- Ensuring reception and client areas remain clean, organised, and beautifully presented
- Supporting the team with general administrative duties and day-to-day clinic operations
- Learning about treatments and skincare products to confidently assist clients
- Identify opportunities to increase sales through treatment plans, retail products, and client retention
- Assist with managing the clinic's website and digital marketing
What We’re Looking For
- Excellent customer service and communication skills
- A friendly, polished, and professional manner
- Highly organised with strong attention to detail
- Confident using booking systems, emails, and computer software
- Ability to multitask and work independently
- A proactive attitude and willingness to learn
- Interest in aesthetics, skincare, beauty, or wellness
- Experience in a clinic, salon, medical, hospitality, or customer-facing environment is preferred
- Ability to recognise opportunities to increase bookings and retail sales
- Someone who can manage social media business accounts
Bonus if you have:
- Experience using Ovatu
- Experience managing social media content for business on Instagram/TikTok
- Previous aesthetics or beauty industry experience
- Confidence using Squarespace (or similar website platforms)
